OVERVIEW
The Administrative Assistant plays a crucial role in supporting executives and ensuring their professional and personal lives run smoothly. This role combines traditional administrative assistant responsibilities with concierge services, focusing on providing high-level support for the executives and enhancing the overall experience for all associates. This individual is responsible for creating a positive and inviting atmosphere in the lobby of the establishment. The role involves greeting and assisting guests, providing information, and offering various concierge services.
RESPONSIBILITIES
Administrative Support:
- Manage and maintain the executive's schedule, appointments, and travel arrangements.
- Coordinate and organize meetings, events, and conferences.
- Handle correspondence, emails, and phone calls on behalf of the executive.
Concierge Services:
- Operates as the face of the agency. First to engage all incoming guests.
- Coordinate deliveries, packages, and messages.
- Ensure lobby/reception areas are tidy and presentable.
Travel Coordination:
- Plan and organize Agency domestic and international travel arrangements, including flights, accommodations, and transportation.
- Ensure travel itineraries are well-organized and meet the individual’s preferences.
Information Management:
- Maintain and organize files, records, and other documents for easy retrieval.
- Conduct research and compile information as needed.
Communication and Relationship Management:
- Serve as a point of contact between the executive and internal/external stakeholders.
- Build and maintain relationships with key contacts, clients, and associates.
Problem Solving:
- Anticipate potential issues and proactively address them.
- Resolve problems and challenges that may arise in the executive's professional and personal life.
REQUIREMENTS
- Proven experience as an administrative assistant, personal assistant, or in a similar support role is typically required.
- Strong organizational and administrative skills are crucial.
- Proficiency in office software such as Microsoft Office (Word, Excel, PowerPoint) and other relevant tools.
- Excellent verbal and written communication skills are essential.
- High level of discretion and ability to handle confidential information with sensitivity.
- Effective time management skills to handle multiple tasks and prioritize responsibilities.
- Flexibility and adaptability to work in a dynamic and fast-paced environment.
- Familiarity with technology tools and software used for scheduling, communication, and information management.
