Bernous Psychological Services Inc. is a close-knit group psychology practice seeking a full-time bilingual Farsi/English Front Office Receptionist to join our team.
Our front office plays an important role in creating a welcoming, organized, and supportive experience for both clients and clinicians. We are looking for someone who is warm and personable, communicates professionally, stays calm under pressure, and takes pride in keeping a busy clinical office running smoothly.
We offer a collaborative work environment where staff support one another and are treated as an important part of the practice. Because many of the people we serve may be navigating sensitive or stressful circumstances, empathy, discretion, and good judgment are especially important in this role.
Anticipated start date: October 13, 2026. Hiring paperwork and other pre-employment documentation will be coordinated prior to the start date.
This is a full-time, in-person position with one of two regular schedules: 8:30 AM–5:00 PM or 9:30 AM–6:00 PM, Monday through Friday. The specific schedule will be coordinated with other front-office staff to ensure consistent office coverage.
Key Responsibilities
- Welcome clients warmly and help create a calm, comfortable front-office experience.
- Answer incoming phone calls, emails, and client inquiries with empathy, professionalism, and clear communication.
- Schedule, confirm, reschedule, and manage client appointments using our EHR system.
- Collect and process client payments and maintain accurate administrative records.
- Perform insurance eligibility and benefit verification as needed.
- Maintain accurate, confidential, and HIPAA-compliant client documentation.
- Coordinate weekly office and therapy-room assignments for in-person clinicians.
- Communicate with clinicians and administrative staff to resolve scheduling and day-to-day operational issues.
- Assist with general insurance, documentation, and administrative tasks as needed.
- Maintain an organized and welcoming reception area that reflects the practice's standard of care.
Required Qualifications
- Fluent in Farsi and English, including speaking, reading, and writing. Spanish fluency is a strong plus.
- 1–2 years of administrative, receptionist, or front-office experience; experience in mental health, healthcare, or a related setting is strongly preferred.
- Excellent interpersonal skills and emotional intelligence, with the ability to remain calm, compassionate, and professional during sensitive interactions.
- Strong written and verbal communication skills, including professional phone and email etiquette.
- Strong organizational skills and the ability to manage multiple priorities accurately in a busy office environment.
- Comfortable learning and using technology, including Google Workspace or Microsoft Office, scheduling software, and electronic health record (EHR) systems.
- Dependable, proactive, and able to follow through on responsibilities with limited supervision.
- Strong commitment to confidentiality, professionalism, and protecting client privacy.
Preferred Qualifications
- Previous experience in a psychology, behavioral-health, medical, or other healthcare group practice.
- Familiarity with EHR systems, HIPAA requirements, and healthcare administrative workflows.
- Comfortable working with Mac computers and cloud-based office systems.
- Interest in developing professionally within behavioral health, healthcare administration, or office management.
Compensation
$20.00–$23.00 per hour, depending on experience and qualifications.
