Job Summary
Responsible for all aspects of a project’s accounting operations including the subcontractor payment process, Owner billings, oversight of compliance, budgeting, financial reporting and contract management. This includes managing lien waiver compliance, correspondence with subcontractors and coordination with project team and Owner.
Duties and Responsibilities
- Proactively stay up to date on all laws, regulations and company policies affecting the subcontractor payment process (pay-when-paid requirements, preliminary notice / lien release requirements, supplier agreements, etc.) and Owner billings.
- Maintain a full understanding of how the Textura CPM system operates, how and by whom all pieces of Textura data are entered and how Textura data is exported / re-entered into Company books.
- Maintain a full understanding of how subcontractor invoice and payment postings occur within company books including application of billings against subcontracts, accounts / retentions payable, posting to job cost, and use within financial statements and Project Financial Reports (PFRs).
- Maintain a full understanding of how owner billings are reconciled and posted within the company books.
- Maintain an understanding of the Schedule of Values to the Owner and subcontractors.
- Collaborate with Owners, project managers, subcontractors, suppliers, project teams, contract administrators, other accountants, accounting management and company executives for the effective, timely and accurate processing of subcontracts payable, other job cost payables and Owner Billings.
- Maintain the integrity of subcontracts payable data within Textura, B360 and subcontractor files including the reconciliation of Textura & B360, integration of the preliminary notice log with lien waivers and maintaining thorough, well-organized subcontractor files with appropriate notes / documentation included.
- Ability to read contracts and assist in translating compliance items into the SOV and Owner billing packages and change orders.
- Prepare timely AIA billings and can produce owner billings within Excel, Textura, or any systems, if designated. Ensure there is alignment between contract change orders and subcontractor change orders within the Owner billing and any discrepancies are disclosed to management.
- Prepare, update and maintain reconciliations and other schedules as assigned.
- Review job cost reports for jobs in progress and update progress reports for project management.
- Identify and correct data discrepancies in essential business reports.
- Provide guidance and train accounting peers and project team members.
- Utilize accounting software and systems to streamline financial processes and improve efficiency.
- Create, update and maintain subcontracts payable and owner billing policies and procedures.
- Participate in project job walks to ensure the accuracy of the Owner billing.
- Facilitate the coordination with the project accounting team within the various COEs.
- Participates in the startup of the project set up and is responsible for the close out of the accounting records at the end of the project.
- All other job duties as assigned.
Qualifications
- Bachelor’s degree in accounting or finance; CPA or equivalent certification is preferred.
- Proficiency in accounting software such as QuickBooks, Quicken, PeopleSoft, Sage, or Xero.
- Strong knowledge of financial concepts including double-entry bookkeeping, debits & credits, payroll processing, and auditing practices.
- 5 Years of Project Accounting experience preferred
- Familiarity with technical accounting issues related to wills, trusts & estate law is a plus.
- Excellent analytical skills with the ability to interpret complex financial data effectively.
- Proficient in Microsoft Excel for data analysis and financial modeling.
- Strong organizational skills with the ability to manage multiple projects simultaneously while meeting deadlines.
