SUMMARY

We are seeking an organized, outgoing Volunteer Coordinator to oversee the recruitment and coordination of BBG volunteers and provide operational support in various areas of the organization.

ABOUT BBG

Berkshire Botanical Garden (BBG) is a membership-supported horticultural and educational organization encompassing over 24 acres of formal and natural gardens in Stockbridge, Massachusetts. Its mission is to “provide information, education and inspiration concerning the science, art and joy of gardening and its role in preserving the environment.” The Garden is in the process of implementing an ambitious multi-phase master site plan, and has also launched an ongoing strategic plan to grow our audience, expand our gardens, plan for sustainable growth, and invest in the diversity and accessibility of our organization. BBG has about 20 full-time, year-round employees, and up to 30 employees total during our open season.

RESPONSIBILITIES

The Volunteer Coordinator is responsible for managing our robust Volunteer program and providing operational support to the organization. The Volunteer Coordinator will report to the Director of Operations.

Responsibilities include maintaining the volunteer schedule and database, communicating with the volunteer community, and implementing strategies to recognize and incentivize volunteers. The role also involves identifying new opportunities for volunteer support across the organization, collaborating with other BBG staff and the Volunteer Association to address volunteer needs, developing new ways to expand the volunteer network, and ensuring volunteer efforts meaningfully contribute to BBG’s success.

In addition to volunteer management, the Volunteer Coordinator will provide operational support in the Visitor’s Center, the Leonhardt Galleries, and other areas of BBG as needed. Duties may include office management and technology support, providing additional gallery docent coverage, assisting with special events and educational programs, and supporting other key BBG initiatives.

The Volunteer Coordinator will be asked to work a flexible schedule of approximately 20 to 25 hours per week. Work must be performed from the BBG office and will primarily take place during regular business hours (Monday to Friday, 9am-5pm). Some evening, weekend and holiday work may be required to help support BBG’s busy calendar of programs and community events. Overall hours may be reduced during the winter off-season.

QUALIFICATIONS

  • 2-3 years of experience in an administrative, nonprofit, or volunteer organization setting
  • A warm, friendly, people-first approach prioritizing the needs and experiences of volunteers and the public
  • Organizational and problem-solving skills, ability to prioritize, a collaborative work approach, professionalism, and high attention to detail.
  • An energetic team player who communicates effectively with staff, board, volunteers, visitors, members, and the general public.
  • A commitment to valuing diversity and contributing to an inclusive working and learning environment.
  • Prior experience working at public institutions, non-profits, or other mission-driven organizations is preferred.
  • Adept with common productivity software such as Microsoft Office and Google Suite. Familiarity with Square or similar POS systems. Experience with Salesforce or other CRMs preferred.

WORK ENVIRONMENT

BBG provides a beautiful and stimulating work environment, with each season highlighting its signature character and charm. The staff of 18-30 (depending on the season) works in various shared office spaces as well as on the grounds and shares a common interest in the environment and the visitor/student experience. SALARY AND BENEFITS
