Position Summary
The Customer Service Representative (CSR) / Order Editor is a critical liaison between the Sales team, the Customer, and the Production floor. This role reports directly to the General Manager (GM) and is responsible for the precise intake, routing, quoting, and processing of custom jobs to ensure a seamless transition from initial sales request to final manufacturing. The successful candidate must be highly organized, detail-oriented, and proficient in job-routing software.
Key Responsibilities
1. Quote and Estimation Management
- Serve as the primary internal contact for the Sales team regarding new project inquiries and customer quote requests.
- Accurately route quote requests through the company’s dedicated manufacturing software, Amtec, ensuring all specifications and costs are captured correctly.
- Work closely with the Estimating and Engineering departments to confirm material costs, labor requirements, and production feasibility.
- Prepare and deliver clear, accurate, and timely quote documentation back to the Sales team.
2. Order Editing and Processing (Back-End Process)
- Upon receipt of a finalized Purchase Order (PO) from the customer, meticulously review all documentation against the original quote.
- Input the job specifications, quantity, pricing, and required customer details into the Amtec system for final processing.
- Proactively address and resolve any discrepancies between the PO and the quote with the Sales team or customer before releasing the job.
- Create and compile the complete job package for manufacturing.
3. Production Handoff and Support
- Send the final, confirmed job packet to the Production team, providing all necessary details to initiate the manufacturing process for retail/industrial packaging or displays.
- Track job status within Amtec and serve as an internal resource for Production and Shipping on questions related to the specific order details.
- Maintain organized digital and physical files for all quotes, POs, and completed jobs.
Required Qualifications & Skills
- Minimum 5 years of experience in Customer Service, Order Entry, or a similar administrative support role, preferably within a manufacturing (packaging, print, or display) environment.
- Proven ability to manage high-volume quote requests and process orders with a high degree of accuracy.
- Familiarity with a complex ERP software; direct experience with Amtec is a significant advantage.
- Excellent written and verbal communication skills, necessary for translating complex manufacturing requirements into clear quote documentation.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Schedule & Work Environment
This is a hybrid position requiring the employee to be in the Nashville, Illinois plant office for four (4) days per week, with one (1) day remote. This structure allows for direct, critical collaboration with the Production and Estimating teams. The facility is conveniently located roughly 45 minutes east of St. Louis, offering a small-town setting with easy access to a major metropolitan area.
