Position:                   Service Coordinator of Virtual School

Reports to:                Director of Alternative Education

Employment Term:   261 Days

Daily Schedule:         8:00 am-3:30 pm

Salary Schedule:       Payscale H based on years of experience plus the coordinators supplement of $2,500.

                                   Plus Competitive benefits package equal to approximately 35% of direct compensation.  

SUMMARY:

 

This position provides support for the increasing emphasis on positive student behavior including the school and community social skills standards in WVDE Policy 4373, the need for parent engagement, and our strategic goal of meeting the personal needs of each student, in relation to the Berkeley County Schools’ mission and goals.  Coordinates the flow of communication and processes in the department, to provide a wide range of information to students, staff, parents, and the public; and maintain varied administrative and student records and prepare reports. 

 

ESSENTIAL JOB FUNCTIONS 

  • Assist with management all operations of Berkeley County Schools Alternative Education programs  
  • Help develop and manage annual budget 
  • Assist with an orientation session for families to help the transition to WVVS 
  • Communicate with all Alternative Education teachers about beginning and end dates 
  • Monitor progress in enrolled course(s) and communicate with students, parents, schools 
  • Work with administration to provide appropriate accommodations and participates in preparation for student IEP 
  • Alert school administration about students who may be in jeopardy of failing. 
  • Prints report cards and transcripts for the student and student’s family 
  • Maintain confidentiality in dealing with records and departmental issues 
  • Assist with the investigation of reports from parents and students  
  • Assist with creating and maintaining procedures for BCS Board polices and updates 

 

GENERAL JOB FUNCATIONS: 

  • Completes records and reports accurately and on schedule  
  • Handles routine correspondence accurately and efficiently  
  • Performs general clerical tasks accurately and efficiently 
  • Receives callers and referring them to the proper person, pleasantly and promptly  
  • Addresses walk-ins and determine where to best service them 
  • Collects data and submit required reports to the WV Department of Education 
  • Assists with the compilation of necessary reports to district, county, state, federal government and the community at large 
  • Develops and maintain list of community resources to assist students  
  • Orders department materials as requested by supervisor 
  • Accesses department calendar and schedule appointments if the supervisor is unavailable.   
  • Have a working knowledge of various programs to be able to answer general questions from faculty, staff and community members 
  • Compiles school safety manuals  
  • Completes various reports as requested by supervisors 
  • Completes and processes request for student records 
  • Assists with trainings/workshops and provide all necessary aspects of workshop logistics  
  • Tabulates workshop evaluations  
  • Establishes and maintain cooperative relationships;  
  • Learns to work with an WEVIS (AS/400 Computer System) 
  • Exercises independent thinking and good judgment. 
  • Other duties/responsibilities as assigned by Director of Alternative Education 
  • Communicates, collaborates, and cooperates with colleagues, supervisors, and students.
  • Schedules students in WVEIS andtheVirtual School platform  
  • Makes and receives telephone calls, takes messages,routes?calls.
  • Maintains school records and files for building,supervisor,and related requirements 
  • Distributes mail 
  • Greets visitors, works with parents, professional and non-certified staff in a pleasant and efficient manner 
  • Types, prepares, distributes, files records/reports, correspondence, mailings etc. related to building functions and supervisor needs 
  • Processes attendance/payroll for the building staff 
  • Takes/transcribes notes for correspondence
  • Attends Open House 
  • Orders, processes, and maintains office materials and equipment 
  • Creates and processes purchase orders and maintains invoices 
  • Maintains confidentiality 
  • Operates standard office equipment 
  • Takes in-service training as stipulated by contract 
  • Distributes district flyers 
  • Works with Business office to process purchase order numbers, petty cash as delegated by the supervisor 
  • Performs duties in accordance with contract, W. Va. Code, and policies. 
  • Is fluent in Microsoft Office software programs;(Excel, Word, Access,Teams, etc.) using One Drive to work collaboratively with the virtual staff 
  • Is fluent in and/or attend training for WVEIS (West Virginia Educational Information System), the Alternative Education platform, county learning management systems, county communication systems 
  • Enroll students in virtual dashboard and update in WVEIS and communicate with home schools 
  • Maintains database of students 
  • Communicates & resolve enrollment issues with virtual platform and in WVEIS 
  • Documents and communicates students’ intake/out-going 
  • Enters student grades into WVEIS at semester
  • Creates and disseminates report cards
  • Transcribes grades in WVEIS when needed 
  • Provides regular progress reports to families 
  • Contacts students and families for conferencing, progress updates, state testing coordination, etc. 
  • Performs additional reasonable, job-related responsibilities assigned by the Director of Alternative Education. 

SUPERVISORY RESPONSIBILITIES:   

  • Assure the organization and its mission, program, products, and services are favorably received by the WVDE and relevant stakeholders 
  • Coordinates with county WVEIS staff to be sure courses are in the master schedules at the schools  
  • Works with school counselors   
  • Provide general and expert information to the members of the various Alternative  Education teams and contacts at all schools. 
  • Mentor others in the like field 
  • Handles the day to day operations of Virtual School 

 

  

EDUCATION/EXPERIENCE: 

  • High School diploma or General Education degree (GED)required 
  • Three-five years of experience in Alternative Education programs 
  • Must possess excellent interpersonal and communication skills  
  • Must be proficient and efficient in use of various technology skills and programs 
  • Must possess the ability to establish and maintain effective working relationships with employees, administrators, students, parents, community members and other departments 
  • Must pass the WV State Competency Test for a Coordinator 

 

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to draft routine reports and correspondence. Ability to speak effectively before groups of people.

 

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

 

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

 

OTHER SKILLS and ABILITIES:

Ability to get along with other people. Patience in dealing with parents and children. Ability to develop effective working relationships with students, staff, and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
