SUMMARY

BERING STRAITS PROFESSIONAL SERVICES LLC, a subsidiary of Bering Straits Native Corporation is currently seeking a qualified Supply/Distribution Specialist for Consular Affairs in Springfield, VA. The Supply/Distribution Specialist 3 provides professional support for the day-to-day operations of the distribution functions (mailroom, warehousing and/or distribution support to the bureau).

ESSENTIAL DUTIES & RESPONSIBILITIES

The Essential Duties and Responsibilities are intended to present a descriptive list of the range of duties performed for this position and are not intended to reflect all duties performed within the job. Other duties may be assigned.

  • Monitor center's group email address for incoming email inquiries, such as items

ordered or order status and assure inquiry acknowledgement within two (2) business hours and follow-up response within one (1) business day.

  • Using, but not limited to, the DOS' ILMS and CA Management Software Systems to:

receive supplies; manage inventory, including physical audits, and produce customized inventory reports; process orders, including entering stock requests, and produce pick reports; and ship orders, including printing shipping labels and transfer reports.

  • Package shipments for delivery both domestically and internationally via pouch services or commercial couriers.
  • Perform quality control checks on all incoming critical supplies by opening and

inspecting down to single pack quantities to meet quality standards and tolerances.

  • Upon inspection completion, repacking contents into original bulk packaging.
  • Track supply requests in ledger spreadsheets from "initial request" to "confirmation"

by receipt for the requester from whom supplies were received.

  • Assist GSD personnel in determining current and future supply requirements to meet customer demands based on past and current consumption or usage.
  • Liaison with CA directorates: such as the Visa Office (VO), Passport (PPT), and Post
  • Analysis & Support (PAS) divisions, to forecast need for Visa and Passport foils.
  • Update the Inventory Control Ledger cards when packaging shipments.
  • Input supply requests for shipments into the ILMS system.
  • Input shipping information into the ILMS CA Accountable Inventory (AI) and
  • Warehouse Management System (WMS) software programs as well as filling out

shipment receipt forms to be shipped with packages.

  • Physically receive materials, verify information for accuracy, examine supplies for

damages, physically move supplies to designated storage areas, store items properly, and record receipt in appropriate written or electronic files.

  • Safely operate lift truck and automated equipment to move, pull, and store supplies

throughout the warehouse.

  • Perform any driving tasks to support warehouse operations and other driving tasks at the discretion of the GTM.
  • Perform required preventative maintenance checks and interior/exterior care as set

forth in the GSA Fleet Users Guide Handbook and maintain a log of when these actions are performed.

  • Take the vehicle to a GSA approved auto repair shop for required preventative maintenance within three (3) business days of being notified by the DOS Fleet Vehicle Office and note the maintenance performed in the Official Vehicle Report (OVR's).
  • Keep vehicle in good, clean condition and maintain all paperwork for vehicle services along with the OVR's in the vehicle notebook and report any accident or damage upon discovery and submit accident report within two (2) business days. Any injuries or fatalities must be reported within 24 hours.

QUALIFICATIONS - EXPERIENCE, EDUCATION AND CERTIFICATION

Required (Minimum Necessary) Qualifications

  • S. citizenship and the ability to obtain/maintain a minimum SECRET clearance.
  • Bachelor's Degree; or High School Diploma and six (6) years specialized experience

in automated warehouse support.

  • Possess, and maintain throughout POP, lift truck operation certification (OSHA).
  • Possess, and maintain throughout POP, a valid US driver's license and a clean driving history.
  • Ability to work in non-climate controlled and outdoor conditions.
  • Ability to stand, stop, and bend for continuous periods of time with no limitations.
  • Ability to lift, move, and/or carry heavy, large, and/or 'awkward' items (up to 60 Ibs.)

with no limitations.

  • Possess, and maintain throughout POP, lift truck operation certification (OSHA).

Knowledge, Skills, Abilities, and Other Characteristics

  • Proficiency in the use of Microsoft Office Suite.
  • Demonstrated strong written and oral communication skills.
  • Demonstrated timely and proficient organizational skills with the ability to work

independently and multi-task in a high volume, fast-pace work environment with little or no supervision.

  • Demonstrated ability to have a flexible, team-oriented approach to work while building and maintaining strong working relationships with colleagues.
  • Demonstrated excellent customer service abilities.
  • Ability to maintain control with 100% accountability of 'controlled supplies' with a

working knowledge of the importance and practice of safeguarding inventory.

Preferred

  • Possess excellent proficiency in ILMS to include the Distribution Module, Ariba, AI, and WPS systems.
  • Possess an excellent working knowledge and strong familiarity with DOS' ILMS
  • Diplomatic Pouch and Mail (DPM) policies and regulations to include 14 FAM 720.

Essential and marginal functions may require maintaining physical condition necessary for bending, stooping, sitting, walking or standing for prolonged periods of time; most of time is spent sitting in a comfortable position with frequent opportunity to move about.

DOT COVERED/SAFETY-SENSITIVE ROLE REQUIREMENTS

  • This position is not subject to federal requirements regarding Department of Transportation “safety-sensitive” functions.

WORK ENVIRONMENT

Work Environment characteristics described here are representative of those that must be borne by an employee to successfully perform the essential functions of this job.

The job is performed in a warehouse/office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system. The work described herein is primarily in a modern office setting. Occasional travel may be required.

SUPERVISORY RESPONSIBILITIES

  • No supervisory responsibilities.

ADDITIONAL QUALIFYING FACTORS

As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results. If applicable to the contract, you must also obtain the appropriate clearance levels required and be able to obtain access to military installations.
