Clinic Manager


Berenson Cancer Center is one of the only outpatient medical clinics devoted to multiple myeloma cancer treatment and research. Led by world-renowned oncologist and researcher James R. Berenson, MD., Berenson Cancer Center is a pioneer in creating cutting-edge treatments for patients with myeloma and associated blood cancers. This clinic is located near Beverly Hills in the Sunset Medical Tower in West Hollywood, California, USA.


Your responsibilities as the Clinic Manager will include:


Administrative:

  • Direct clinic operations, including treatment and monitoring of patients
  • Provide for resolution of patient or staff grievances
  • Ensure medical equipment is functional and in compliance
  • Arrange for repair or replacement of any defective equipment/furniture
  • Schedule a yearly inspection of equipment
  • Organize monthly clinical staff meetings along with agenda
  • Provide annual feedback to clinic employees to help them improve their performance
  • Include goal setting for each staff member
  • Review to be done 90 days after the hire date and then on an annual basis at 1st anniversary with the organization
  • Oversee staff work schedule (regular, overtime, and PTO) and job duties so optimal use of staff for clinic-related work is accomplished while controlling costs as set by the accounting team
  • Coordinate clinic schedule with front office staff to ensure optimal care of patients
  • Create and regularly update all clinic SOPs
  • Ensure all regulatory documents related to the clinic are up to date, including those that are for Dr. Berenson
  • Review and approve invoices related to clinic purchases
  • Complete pre-authorizations for insurance claims
  • Other administrative/management duties as needed


Pharmacy

  • Communicate with the pharmacy, physicians, and accounting department regarding daily drug needs for the clinic.
  • This includes proper review of each drug ordered to avoid inability to carry out patient treatment and ensures reduction of unnecessary expenses
  • Assure that all CURES-related tasks are performed according to state regulations
  • Other pharmacy duties as needed


Lab

  • Assist clinical laboratory personnel in such a way that they can maintain compliance according to CLIA
  • Equipment
  • Supplies
  • Personnel
  • Assure that transfer of blood, urine, and bone marrow specimens occurs in a timely and accurate fashion to the designated recipient
  • Coverage of laboratory specimen processing and reporting of results in the absence of lab personnel
  • Assess staffing needs and adjust accordingly
  • Other lab management duties as needed


Billing

  • Assure that superbills are submitted to our billing team daily
  • Answer and complete issues that the billing company places on the daily escalation log
  • Attend weekly meetings with billing and accounting teams to review the clinic’s billing performance and provide input as needed to maintain AR balances low
  • Lead the restructuring of the billing process by developing standard operating procedures (SOPs), performing drug order analysis, evaluating personnel needs, and implementing strategies to optimize revenue
  • Other billing duties as needed


Research

  • Regularly collaborate with the Clinical Research Manager to gain a comprehensive understanding of the needs of the research team, including Clinic Personnel Affiliated with Research (e.g., Research Data Coordinators, Principal Investigators (PI), Sub-Investigators (sub-I) Pharmacy, and Scribes).
  • Ensure the Clinical Research Manager has access to essential communication platforms for engaging with Contract Research Organizations (CROs), pharmaceutical companies, and biotech firms.
  • Collaborate with the Clinical Research Manager to identify subjects requiring approvals and study procedures before each study-related visit/treatment.
  • Work in partnership with the Clinical Research Manager to promptly determine whether the trial patient can be treated in our clinic on a clinical study.
  • Partner with the Clinical Research Manager to secure insurance provider approvals for medication usage, imaging, and procedures relevant to clinical trials.
  • Maintain records of all invoices generated by Research Coordinators and work alongside the Clinical Research Manager to understand ongoing processes. Liaise with the Finance Team to ensure readiness for upcoming invoices.
  • Facilitate the provision of necessary resources to nurses for direct patient care to trial participants. Report any identified issues to the Clinical Research Manager to implement changes in the existing workflow.
  • Other research duties as needed


To thrive as a Clinic Manager, you should have:

  • University degree: Bachelor’s degree in Healthcare Management. Master's degree in Healthcare Management preferred.
  • At least 3 years of experience managing an oncology clinic or similar healthcare setting
  • Strong financial management skills, including budgeting and oncology billing codes
  • Ability to bridge the gap between administrative demands and clinical needs
  • Excellent communication and customer service skills
  • Ability to motivate and challenge staff

Supervisory Responsibilities:

  • Manages subordinate employees. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
