Responsibilities
Coordinate and manage documentation related to real estate transactions, ensuring compliance with applicable laws and regulations. Conduct research on property titles, zoning laws, and other relevant information to support transactions. Utilize Snapclose Title software, CD software, and Smokeball real estate software to manage transaction files and closing documents. Provide excellent customer service by addressing client inquiries and resolving issues promptly. Collaborate with attorneys and office staff to prepare legal documents and facilitate the title processing workflow. Maintain organized records of transactions, communications, and file updates for easy access by team members. Assist with managing project timelines and ensure closing deadlines are met efficiently. Qualifications Strong organizational and multitasking skills Excellent communication and client service skills Experience in real estate transactions or a legal office preferred Familiarity with Snapclose, CD software, or Smokeball is a plus Ability to manage multiple files in a fast-paced environment Review and analyze property titles to determine insurability and identify potential issues or discrepancies Prepare and issue title insurance policies, endorsements, and related documentation with precision Communicate effectively with clients, real estate agents, attorneys, and other stakeholders to clarify requirements and resolve issues Conduct thorough research using public records, legal documents, and databases to verify property information Negotiate terms with clients and partners to facilitate smooth transactions while maintaining compliance standards Assist in sales administration tasks including processing applications, updating records, and managing client files Provide exceptional customer service by addressing inquiries promptly and professionally Collaborate with marketing teams to promote title insurance products and services to prospective clients Ensure adherence to industry regulations such as HIPAA when handling sensitive information
