The Administrative Assistant to the Director of Finance and Human Resources serves a key role in a small county government with limited staff and shared responsibilities. This position provides a broad range of administrative, financial, and human resources support, often working independently and handling multiple functions. The ideal candidate is highly organized, adaptable, and able to shift priorities quickly while maintaining accuracy, professionalism, and confidentiality.
**Key Responsibilities**
- Provide administrative support to the Director of Finance & Human Resources, including scheduling, correspondence, and document preparation
- Assist with payroll processing, timesheet collection, and recordkeeping
- Maintain employee files and ensure compliance with confidentiality and record retention policies
- Support recruitment efforts, including job postings, application tracking, and onboarding coordination
- Prepare reports, spreadsheets, and presentations related to finance and HR functions
- Assist with accounts payable/receivable tasks, data entry, and financial record maintenance
- Coordinate meetings, take minutes, and follow up on action items
- Respond to employee inquiries regarding HR policies, benefits, and payroll (as appropriate)
- Maintain office supplies and assist with general office operations
- Ensure compliance with applicable laws, policies, and procedures
- High school diploma or equivalent required; associate or bachelor's degree preferred
- Previous administrative experience, preferably in finance or human resources
- Strong proficiency in Microsoft Office (Word, Excel, Outlook)
- Knowledge of payroll systems, accounting software, or Tyler systems preferred
- Excellent organizational, communication, and multitasking skills
- Ability to handle sensitive and confidential information with discretion
- Strong attention to detail and problem-solving abilities
- Office-based position with regular business hours
- Occasional overtime may be required during peak periods (e.g., payroll, audits, open enrollment)
- Frequent interruptions and shifting priorities requiring flexibility.
- Regular interaction with employees, elected officials, and community members.
- Salary range: $18.00-22.50/hr
