Job description:
Bennett Williams continues to grow and is searching for a new coordinator for our team!
Position Summary
Provides administrative support for the property management team at Bennett Williams Realty across retail, office, industrial, and commercial condo properties. Responsibilities include assisting with daily communication and customer service for owners, tenants, association boards, vendors, and suppliers. Supports maintenance coordination, lease and association document administration, inquiries, approvals, insurance tracking, invoice processing, financial and budget preparation, violation notices, and general property management tasks.
Principal Accountabilities
1. Assists Vice President of Property Management in all operations of the property management department. Requires intimate knowledge of lease and association documents including tenant responsibility for commercial properties.
2. Preparation of monthly management reports for all properties. This includes coordination and compilation of materials from accounting, leasing agents and property management records.
3. Responsible for maintenance on properties. This includes tracking of tenant concerns, obtaining quotes for the work, coordinating work with the contractors, follow through with completion of the work.
4. Coordination of quotes and review of contractors for all services for commercial properties. Managing concerns of tenants regarding services contracted for properties.
5. Site visits to properties and inspections of property and tenant spaces as required.
6. Schedule, coordinate and attend meetings at least annual or twice yearly for each association. Attend and record minutes for various Board meetings.
7. Tracking of service contracts and billings. Tracking and reading meters of utilities on commercial properties.
8. Responsible for collection of past due accounts. This includes monthly letters being sent to delinquent parties, filings completed with the District Justice Office and coordination of legal proceedings with the law firm. Attend hearings as required.
9. Communicate daily with property management team, tenants, boards, and owners of commercial properties via phone and/or email.
10. Communicate with municipalities and insurance companies as needed for properties.
11. Preparation and processing all mailings to tenants including meeting notices, payment, violation letters, policy changes, introductory welcome letters to new tenants, approval/denial of requests, and complaints.
12. Track certificates of insurance and preventative maintenance contracts and maintain compliance.
13. Work directly with the accounting department to assure all tenant statements and data base information is current.
14. Responsible for maintaining key card access system for properties.
15. Other tasks as required by the Vice President of Property Management.
Employment Standards
Education/Experience: Any combination of education and experience that would provide the required skill and knowledge for successful performance. Typical qualifications would be equivalent to:
1. Degree/license in Real Estate/Management or 3 years of experience in real estate.
2. Excellent organizational skills and proficiency with Microsoft Office.
3. Strong customer service skills with the ability to multi task in a fast paced
environment.
4. Ability to learn new systems and processes.
5. Positive attitude.
6. Basic knowledge of real estate terminology, leases, condominium association documents, accounting, budgets and general office procedures and practices.
Position requires excellent communication skills, both verbal and written, proficient in computer skills, be detail oriented with the ability to multi-task in a fast paced changing environment. Experience with Yardi a plus.
