Job Title: Office Administrative Assistant
Reporting to: Lead Administrator & Operations Manager

Beneficial Reuse Management (BRM), based in Chicago, is a leading environmental services company focused on marketing industrial by-products and producing value-added products from high-volume, non-hazardous, reusable waste streams generated by utilities, municipalities and industrial companies. The Company offers innovative, sustainability-focused resource recovery solutions focused on agricultural, industrial, and infrastructure end markets.
USAGypsum is a division of Beneficial Reuse Management, located in Denver, Pennsylvania focusing on recycling drywall to be beneficially reused across many industries. The Office Administrative Assistant role will be at based out of the USAGypsum, Denver, PA office location.
Position Summary:
The Office Administrative Assistant will support the lead administrator in customer, plant production, and transportation efforts to ensure that orders are fulfilled timely and efficiently. We are looking for someone who is detail oriented and approaches learning and growing with a positive attitude and mindset.
Key Responsibilities:
Customer Order Management & Production Coordination
- Receive and process customer orders via phone, email, and online ordering platforms.
- Schedule recurring customer orders to ensure timely fulfillment.
- Coordinate order fulfillment for customer pickups and deliveries.
- Respond to customer inquiries and direct sales-related questions to the appropriate sales representative.
Production Coordination
- Collaborate with Operations Manager to review production schedules and customer requirements.
- Coordinate production activities with outsourced manufacturing partners, as needed.
- Monitor inventory levels and communicate inventory needs to support production and customer demand.
Transportation & Logistics Coordination
- Schedule and coordinate pickups and deliveries utilizing company-owned trucks.
- Arrange transportation with leased tractor-trailer carriers and independent trucking contractors.
- Coordinate motor freight and parcel shipments, including UPS and other carriers.
- Communicate shipment schedules with customers, carriers, and internal personnel to ensure timely deliveries.
Administrative Support, Recordkeeping & Reporting
- Enter, update, and maintain accurate operational and financial data in the ERP system, including sales orders, fulfillments, production activity, vendor bills, and related records.
- Maintain accurate inventory, production, and maintenance records.
- Prepare weekly, monthly, and quarterly inventory and production reports.
- Reconcile freight invoices and transportation costs.
- Process vendor invoices and support bill entry, coding, and documentation.
- Prepare sales, purchasing, and vendor reports as requested.
Office Administration & Executive Support
- Maintain office supply inventory and coordinate purchasing of office supplies and administrative materials.
- Perform general clerical and administrative duties to support daily office operations.
- Provide administrative support to onsite and corporate leadership teams.
- Assist with business administration activities, special projects, and other duties.
Required Qualifications:
- 2-4 years of experience preferred
- Experience in manufacturing, agriculture, or industrial environments is a plus
- Proficiency in Excel and familiarity with accounting software or ERP systems
- Strong attention to detail and organizational skills
- Excellent listening, interpersonal, written, and verbal communication skills
- ability to work efficiently under pressure and manage multiple priorities
- Self-motivated with the ability to exercise sound judgment and work independently
- Skilled at prioritizing and executing tasks across multiple projects
- Collaborative and experienced in cross-functional, team-oriented environments
- Proficiency with Microsoft Office (Excel, Word, Outlook, PowerPoint) required
- Experience with NetSuite (ERP) is a plus
Working Environmental & Requirements:
- In-office presence required
- Looking for someone to work 25-30 hours per week initially. This role could potentially move to full-time.
- Must be able to use personal protective equipment (PPE) as required by company policy and safety regulations
