Key Responsibilites
- Administer various employee benefits programs, such as group health, flexible spending accounts, health savings accounts, dental, vision, disability, life insurance and retirement.
- Coordinate daily benefits processing utilizing online benefits software, including enrollments, terminations, and claims.
- Process changes to employee benefits data that impact Human Resources, payroll, and organizational management changes.
- Address benefit inquiries related to benefit eligibility, elections, and interface issues to ensure timely and accurate resolutions.
- Collaborate with payroll and ensure that employer contributions and payroll deductions are processed accurately and in a timely manner.
- Reconcile benefit invoices and payroll to ensure accuracy.
- Perform regular internal audits of system data related to benefits administration functions.
- Contribute to projects that will continue to improve the benefits experience.
- Participate in planning and coordinating the implementation of Annual Open Enrollment, including the development of communications, HRIS configuration, and employee meetings.
- Support and assist in the development of the on-going benefit communication strategy.
- Ensure all benefit procedures are compliant with regulatory requirements, including ERISA, HIPAA, ACA and other requirements from the IRS and DOL.
- Partner with Human Resources to resolve and find constructive resolution to employee benefits matters.
- Develop, manage, and maintain positive relationships with multiple vendors.
- Assist with Leave of Absence (LOA) administration and related tasks.
- Additional duties as determined by management.
Technical & Analytical Skills
- Data analysis – Ability to analyze and interpret enrollment trends, claims data, contribution rates, and utilization.
- Reporting & auditing – Ability to generate accurate reports and conduct internal audits to ensure compliance and accuracy
- Cost analysis & budgeting – Evaluating benefit plan performance, understanding premium and claims costs, and assisting with financial modeling.
- Systems – Ability to learn and understand how systems function and integrate.
- Accuracy in data entry
- Excel proficiency – Pivot tables, VLOOKUPs, formulas, and data visualization
Project Management Skills
- Problem-solving – Identifying gaps, resolving discrepancies, and improving processes.
- Project management – Assisting with the management of benefit renewals, system implementations, open enrollment, or wellness initiatives.
- Process improvement – Streamlining workflows and improving documentation and operational efficiency.
- Time management – Managing competing deadlines and cyclical peaks (e.g., OE season, ACA reporting).
- Vendor management – Coordinating with carriers, consultants, etc.
- Cross-functional collaboration – Working with team peers, HR, payroll, finance, and legal teams.
- Confidentiality – Handling sensitive information with discretion.
Requirements
- 2–5 years of experience in an analytical role.
- 2 years of experience as a benefits administrator preferred.
- Knowledge and understanding of plans and regulations, including ERISA, HIPAA, ACA. FMLA and requirements from the IRS and DOL, as well as other state and federal legislation.
- Strong analytical and problem-solving skills, with exceptional attention to detail.
- Proven ability to work effectively in a fast-paced environment and meet deadlines.
- Ability to maintain confidentiality, sensitivity, and security of information.
- Strong communication and interpersonal skills.
- Intermediate-level skill with Microsoft Office required (Excel, Word, PowerPoint).
- Self-motivated and ability to work independently and in a team-oriented environment.
Pay Range: $29.00 - $34.00 Hourly
Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
