Job Title: Administrative Assistant

About the Role
We are seeking a reliable and detail-oriented Administrative Assistant to support our Portland office. This role is essential to maintaining smooth day-to-day administrative operations. The ideal candidate is organized, proactive, and comfortable handling a variety of tasks. Training will be provided for the right individual who is eager to learn and grow.
Key Responsibilities
Invoice Processing
Process customer and vendor invoices accurately using internal systems
Assist with payment tracking and coordination with sales teams
Purchasing
Manage purchasing requests, including recurring expenses and production materials
Assist with onboarding new suppliers and maintaining documentation
Order Entry & Payroll
Enter and maintain orders in company systems
Submit weekly hourly payroll for the facility
Office & Administrative Support
Maintain office supply inventory and manage facility expenses
Organize and maintain digital and physical filing systems
Provide general administrative support across departments (HR, Accounting, Operations)
Scheduling & Coordination
Manage calendars, appointments, and internal events
Coordinate employee travel (flights, hotels, rental cars)
Data Entry & Reporting
Accurately input data and assist with reports and spreadsheets
Mail, Shipping & Logistics
Handle incoming/outgoing mail and shipments
Coordinate courier services and maintain shipping documentation
Front Desk & Communication
Greet visitors, answer phones, and direct inquiries
Assist in distributing company communications and announcements
Additional Duties
Monitor vehicle and equipment registrations
Participate in corporate administrative meetings
Perform other duties as needed to support operations
Qualifications
Basic proficiency in Microsoft Office (Word, Excel, Outlook)
Strong organizational skills and attention to detail
Effective written and verbal communication
Ability to multitask in a fast-paced environment
Positive attitude and willingness to learn
Previous administrative experience is a plus, but not required
