What are the responsibilities and job description for the Surgery Scheduler position at Bend Surgery Center?
Job Summary:
Responsible for the proper scheduling of impending procedures.
Supervisory Responsibilities:
Does not oversee other staff.
Duties/Responsibilities:
- Schedules all surgical, gastroenterological (GI), and pain-management procedures
- Has knowledge and understanding of the surgery schedule and the format utilized by the center
- Coordinates specific scheduling requests for time and equipment
- Notifies Nurse Manager of special messages from physician’s office
- Works effectively with physician offices to manage the surgery schedule
- Provides accurate, timely and responsive information to Physicians and other stake holders
- Coordinates processes as required to meet physician and facility requirements
- Acts as a primary liaison for physician offices regarding patient information
- Manages physician blocks; releasing and filling blocks when necessary to increase patient census
- Coordinate with Materials Management and Sterile Processing to ensure required supplies and equipment are available for cases
- Confirm schedule of patients with physician offices
- Provide appropriate facility staff with information, schedule changes or cancelations
- Coordinate patient information with business office personnel including Medical Records and Insurance verification
- Requests patient records as required by the Physician
- Adheres to safety policies and practices good body mechanics and ergonomics
- Follows all rules and regulations for PHI and HIPAA protections of patient information
- Follows all policies and procedures, including, but not limited to, attendance, timeliness, and safeguarding confidential information
- Reports incidents in a timely manner
- Promotes patient and employee safety and communicates concerns appropriately, following Chain of Command
- Attends in-service programs as requested
- Performs other related duties as directed
Required Skills/Abilities:
- Must have excellent communication skills and ability to effectively interact and communicate with all levels within Bend Surgery Center and external customers, clients and potential employees
- Strong team working and collaborative skills
- High attention to detail
- Must be computer literate with working knowledge of Microsoft office products
- Must have knowledge of and ability to perform basic office skills
- Must have exemplary customer service skills
- Must be organized, flexible and versatile with the ability to function effectively in stressful situations
Education and Experience:
- A high school diploma or equivalent is required
- At least two (2) years experience in some aspect of the medical field to assure familiarity with medical terminology. Previous experience with scheduling surgical procedures is preferred.
