JOB DEFINITION:
Under minimal supervision, the Athletics / Activities Secretary II performs a wide variety of clerical work for the Director of Athletics and / or Activities at the high school level. The Athletics / Activities Secretary II serves as the primary contact person for students, parents, staff, coaches and community members for issues pertaining to athletics and activities. The position requires use of independent judgment on well-defined rules and regulations. The Athletics / Activities Secretary II provides services which may include clearing athletes for all OSAA and Club Sports/Activities, arranging for bus transportation and ordering supplies. Non-routine phases of work are referred to an immediate supervisor for advice.
NATURE AND SCOPE OF WORK:
ESSENTIAL JOB FUNCTIONS:
- Consistently represents Bend-La Pine Schools in a confidential, positive, professional manner and focuses on strong customer services.
- Contributes to the overall positive atmosphere of the school by maintaining excellent rapport with students, parents, staff and coaches.
- Clears students for athletics and activities, following all district and OSAA guidelines.
- Keeps current on district and OSAA policies regarding athletics/activities eligibility.
- Maintains and processes all athletic/activities files.
- Maintains accurate records.
- Inputs attendance for athletics/activities in student information system.
- Types weekly athletic/activities calendar.
- Assists with updating/maintaining the athletic and activities pages, as well as other approved links and related sites on the school’s website.
- Assists with clearing coaches following all district and OSAA guidelines.
- Assists with updating/maintaining coaching staff training records.
- Prepares athletic/activities statistical reports for the district and OSAA.
- Answers phones, takes and delivers messages, furnishing desired information or referring callers to proper personnel.
- Trains and supervises student helpers.
- Provides communication to students, parents and staff through the use of bulletin boards, announcements and the website.
- Provides certificates for athletic and activities teams, as requested and maintain a record of student achievements.
- Orders, receives, distributes, and inventories supplies for the department.
- Works with the Athletic Trainer, School Nurse and other employees, as necessary, regarding concussion management and tracking.
- Works with District Transportation and charter companies to arrange travel for sports teams.
- Assists in compiling payroll records for even workers.
- Fulfills other related duties as assigned.
- Fulfills performance standards identified in the evaluation process as required by the position.

WORKING CONDITIONS:
The individual in this position works with continual interruptions and is under pressure due to deadlines; consequently the person must be patient and tolerant of schedule demands as well as firm and consistent with student behavior expectations. The person must be able to establish and maintain a cooperative relationship with students, parents and other staff members. The employee also needs to be able to lift materials, equipment, and boxes weighing up to 30 pounds and/or maneuver up to 50 pounds.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge:
- Modern office practices and procedures.
- Computer technology and applications, applicable software and other equipment used in the workplace, as required by the position.
- Filing and record keeping systems.
- Proficiency on OSAA and District requirements pertaining to Athletic/Activities eligibility.
- Some proficiency on maintaining and accessing various websites, student information systems, and other computer systems or programs as required by the position.
- Student behavior and methods to assure proper conduct.
- Safety practices.
- Proper first aid procedures.
Skills and Abilities:
Possess the physical ability to regularly attend work and fulfill the essential functions of the position with or without reasonable accommodation.
- Type 50 words per minute with accuracy.
- Learn the operation of telephone switchboards, computers, and other equipment used in the work, as required by the position.
- Read, understand and carry out oral and written instructions.
- Accurately transfer, record and convey information, materials, and money as required by the position.
- Abide by confidentiality requirements.
- Maintain a high level of commitment to completion of all tasks.
- Adhere to the district requirements for a drug-free workplace.
- Hold a valid first aid card.
- Learn to deal with bodily fluids.
- Must be computer literate: able to use district related software systems, internet and e-mail systems. The ability to design and use spreadsheets / databases is a plus.
EDUCATION AND EXPERIENCE:
High school diploma or equivalent and up to one year of advanced training / experience in the specific job requirements. Comprehensive knowledge of grammar and the ability to use correct speech and compose routine correspondence is required. The position requires the ability to understand technical instructions (computers).
The position requires working knowledge of several technical procedures. In-depth knowledge of school district practices or policies are necessary. Job proficiency can be acquired in twelve to twenty-four months.
