What you will have an opportunity to do: BASIC FUNCTIONS: The Accounts Receivable Clerk will ensure posting of receivable charges and payments to the correct ledger accounts in a timely and accurate manner. The Accounts Receivable Clerk will also respond to all customer-billing inquiries in a timely and courteous manner. QUALIFICATIONS: EDUCATION, KNOWLEDGE, TRAINING, & WORK EXPERIENCE * High school graduate or equivalent. * College degree in accounting or equivalent business experience. * Knowledge of computerized front office system. * PC knowledge and experience with Windows, Microsoft Word and Excel Spreadsheet. * Capability to perform 10 key functions. * Detail oriented. * Ability to communicate effectively. * Ability to perform various clerical and accounting duties. ESSENTIAL FUNCTIONS: 1. Initiate group billing accounts, files and advance deposit invoices. 2. Attend pre-conference and conference review meetings 3. Compile group bills and review all folios and tickets for accurate billing. 4. Follow-up both verbally and in writing, on all past-due accounts to insure the timely collection of accounts receivable. 5. Review all past due accounts to determine collectibility of accounts. Recommend action to be taken on uncollectible accounts. 6. Deal with customer inquiries courteously, efficiently and promptly. 7. Responsible for proper follow-up of accounts and billing. 8. Complete all necessary month-end reports and reconcile the accounts receivable general ledger account to the aged trial balance. 9. Maintain an adequate inventory of accounts receivable forms and supplies. 10. Perform all activities in a professional manner and in accordance with company policy. 11. Establish contract files for Tour Operator and Wholesale accounts. 12. Ensure that Tour Operator and Wholesale account folios are being billed on a timely basis and that all files are kept up-to-date. 13. Responsible for proper follow-up and discounting of house accounts and internal billing. 14. Filing – Guest tickets, room charge tickets, credit card vouchers, credit card transactions, and daily and monthly credit card statements. 15. Responsible for researching charge-backs and to make sure that we reply within the deadlines of the credit card companies. 16. Responsible for proper follow MARGINAL FUNCTIONS: 1. Respond to any reasonable task assigned by Controller or Assistant Controller 2. Assist in other departments as needed. What are we looking for?
