Front Desk Office Manager – Ben Shamoiel Chiropractic

Key Responsibilities: Patient Flow & Office Management
- Lead Daily Huddles – Align the team every morning around goals, responsibilities, and the day’s schedule.
- Manage Patient Appointments – Greet patients, check them in/out, schedule efficiently, and maintain smooth office flow.
- Office Environment – Manage the atmosphere (music, mood, and workshop materials) to reflect our culture and mission.
- Patient Notifications – Notify doctors of key appointments, follow up on no-shows with calls/emails.
- Patient Compliance – Ensure patient schedule adherence, track daily stats, and oversee reminders.
Financial & Administrative Duties
- Cash Management – Count and balance the cash drawer daily.
- Financial Agreements & Insurance – Assist with payment plans, insurance questions, and new patient financials.
- Billing & Collections – Collect payments, manage accounts, and process EFT forms.
- Reporting – Print/manage daily income sheets, weekly reports, and deposit logs.
Patient Interaction & Support
- Customer Service – Handle calls, reschedules, and patient inquiries with professionalism and care.
- Promotions & Workshops – Promote events and encourage workshop participation.
- Patient Records – Maintain accurate charts, testimonials, and manage the lending library.
- Patient Follow-Up – Make reminder and reactivation calls as needed.
Team Collaboration & Meetings
- Weekly Team Meetings – Report on new patients, visits, compliance, and manage patient gifting tasks.
- Closing Responsibilities – Balance income, update voicemail, and prep daily packets.
Special Appointment Management
- New Patient Exams & Reports – Ensure patients are informed, scheduled properly, and transactions handled smoothly.
- Progress Exams – Schedule and document exams, follow up on results, and manage related insurance tasks.
Qualifications:
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Confident in managing financial transactions and patient accounts
- Team-oriented with a leadership mindset
- Previous experience in a healthcare or wellness setting preferred
