Litigation Support Specialist (Medical Records)
Position Overview
We are seeking a detail-oriented and highly organized Litigation Support Specialist (Medical Records) to support our legal team in managing, obtaining, and maintaining medical records for active cases. This role is critical in ensuring accurate documentation, timely retrieval of records, and efficient file management throughout the litigation lifecycle.
The ideal candidate has experience working with medical documentation in a legal or healthcare setting and is comfortable handling sensitive information with discretion.
Key Responsibilities
- Request, track, and obtain medical records, billing statements, and related documentation from healthcare providers
- Review incoming records for completeness, accuracy, and relevance to case needs
- Organize, index, and maintain electronic and physical medical record files
- Summarize or flag key medical information for attorneys and litigation staff (if applicable) in case management system
- Communicate with medical providers, record retrieval services, and internal team members regarding record status
- Ensure compliance with HIPAA and other privacy regulations when handling protected health information
- Assist attorneys and paralegals with document preparation for discovery, depositions, and trial
- Maintain logs and tracking systems for records requests and deadlines
Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- 1–3 years of experience in a law firm, healthcare setting, or records management role
- Familiarity with medical terminology and healthcare documentation strongly preferred
- Experience with litigation support or personal injury/medical malpractice cases is a plus
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office and document management systems
- Ability to manage multiple deadlines and prioritize tasks effectively
