Job description:
We are seeking a detail-oriented Administrative Assistant with heightened focus on construction payroll with a strong drive and initiative to join our team. The ideal candidate will assist in efficiently coordinating payroll and assisting with maintaining company compliance/daily operations.
Duties
Payroll & Employee Benefits Management
- Onboarding process of new hires.
- Utilize payroll software for timely payroll processing and all necessary tracking of payroll.
- Manage employee clock-ins/clock-outs (entry, rest breaks, unpaid lunch, and exit) and make necessary corrections.
- Oversee employee benefits (i.e. 401K, vacation time, health insurance).
- Maintain up-to-date employee holiday records.
Prevailing Wage Projects Compliance
- Initiate project set up for weekly CPRs for internal processing.
- Initiate project affiliation with proper Union for apprentice dispatch and contributions.
- Confirm project management compliance platform with GC compliance department for CPR submission.
- Set up project with DIR for eCPRs processing and confirmation.
Communication & Correspondence
- Write and distribute emails, memos, letters, faxes, and forms.
- Write letters and emails on behalf of other office staff.
- Maintain contact lists of all current employees on project management software.
- Provide general support to visitors and manage communication requests.
Reports, Filing, & Documentation
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Conduct data entry.
- Manage weekly receipt audits.
Policies, Procedures, & Administrative Duties
- Update and maintain office policies and procedures.
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
- Carry out general administrative duties such as filing, typing, copying, binding, and scanning.
- Photocopy and print out documents for colleagues.
- Take detailed minutes during weekly meetings.
Requirements
- Strong Organizational Skills: Ability to prioritize tasks, manage multiple projects simultaneously, and maintain detailed records and schedules to ensure smooth office operations.
- Effective Communication: Excellent verbal and written communication skills, with the ability to liaise effectively with all levels of staff, senior managers, and external relationships. Fluent in English and Spanish, enabling seamless communication in diverse environments.
- Attention to Detail: Skilled at managing sensitive data, including payroll, employee benefits, and confidential reports. Ensures accuracy and completeness in all tasks.
- Problem-Solving & Initiative: Capable of identifying issues and proactively finding solutions. Takes initiative to improve processes, handle challenges, and maintain workflow efficiency.
- Time Management & Deadline-Driven: Experienced in working under pressure and meeting tight deadlines, while maintaining high-quality work standards. Skilled in managing competing priorities without sacrificing accuracy or efficiency.
- Construction Industry Experience: Genuine, hands-on experience within the construction industry is required. This role relies heavily on construction-specific knowledge, practices, and workflows, and cannot be successfully performed without a strong, practical foundation in the construction industry.
