What are the responsibilities and job description for the Receptionist/Veterinary Office position at BELLEVUE ANIMAL HOSPITAL?
Responsibilities include scheduling appointments, answering the telephone, setting up new clients and patients, preparation and maintenance of medical records, admitting and discharging patients, filling some prescriptions, over the counter sales, mailings, computer operation, financial transactions, filing, and front office and reception area maintenance.
Other duties:
1. Make a good first impression on clients, smile, be professional. Set a positive tone
2. Maintain a professional appearance (clothes and attitude)
3. Greet clients and pets warmly
4. Be professional, ethical, and friendly at all times, even if clients are being difficult
5. Answer phones, send faxes, get/sort/deliver mail to addressee
6. Make all appointment and then confirm them the day prior via phone
7. Remind owners to fast patients prior to surgery
8. Contact No-Show appointments to reschedule
9. Make callbacks in a timely fashion to verify response of patients to treatment
10. Promote the practice by attending events, word of mouth, business cards
11. Escort clients into exam rooms
12. If clients are waiting for an extended period of time, explain to them why they are waiting so long.
13. Enter all data into computer for clients.
14. Serve as initial source of information to clients
15. Mail or e-mail, brochures and other information to prospective clients
16. Understand vaccinations, basic lab tests, common diseases, and pet behavior
17. Know how to use computer software
18. Take payment for services and enter into record
19. Perform day end closeout
20. Assist clients as necessary to make their visits easier
21. Make list for weekly Hospital needs.
22. Maintain hospital Facebook page
23. Carry food to cars of clients who are unable to do so
24. Setup new client records
25. Setup/verify accuracy of invoices
26. Maintain cleanliness of the front of the hospital
27. Assist in maintenance of outside of hospital
28. Always be punctual, come ready to work, and leave personal baggage at front door.
29. Fill medications
30. Verify medication refills
31. If authorized by doctor, call prescriptions in to pharmacies
32. Assist doctor/technicians with procedures as necessary
33. Understand technician duties
34. Attend staff meetings
35. When in doubt, ask questions
36. Continually strive to improve
37. Make suggestions how to improve hospital protocols
38. Advise veterinarian if the pet or client has a birthday (or other special occasion) if they are in the office for a visit
39. Help veterinarian or other staff members accomplish other tasks to make hospital run smoothly
40. Be drug free. We will run a background check and drug test.
