Administrative Assistant
Belleair Country Club, a private golf, recreation, and dining establishment, is looking for a professional, reliable, and self-motivated individual to join our team as a full-time Administrative Assistant for golf course maintenance.
This position can range from 30-40 hours a week. The Club is open seven days a week, 364 days a year (closed Christmas Day). Limited or no weekends or holidays. 1-2 late afternoon meetings required. There is some flexibility in work hours
$20.00-$22.00 per hours based on qualification and experience.
Bilingual English/Spanish preferred.
Must be proficient in Word, Excel, Outlook, Teams, Zoom, Google Drive, Google sheets, etc.
The administrative assistant reports directly to the golf course superintendent and provides administrative, clerical and office management support for the golf course maintenance operation.
Typical functions:
- Answers and directs all incoming calls, screens the Superintendent calls, greets and directs all visitors, distributes all incoming mail, and oversees outgoing mail and shipping operations and services.
- Attend Green Committee/Golf Course Renovation Committee Meetings monthly, records and distributes meeting minutes to the committee members.
- Assists the Superintendent in ordering shop and golf course supplies when called upon. Follows up on orders not yet received and obtains delivery dates.
- Assists the Superintendent with the Pesticide, Fertilizer, Sand and Seed monthly inventory. Records Fertilizer applications into Sparks program.
- Types any correspondence as directed by the Superintendent which may include - letters, memos, proposals, current projects, Policies and Procedures, any departmental forms, inventory records, current employee listing, any files generated for permanent records.
- Manages the recording hourly employees' in/out times. Pay Clock System: Add/Remove
- Manages the issuing & return of uniforms for staff.
- Manages the golf course maintenance shop's office supply and personal safety supplies/inventory.
- Order golf course irrigation boards as needed.
- Assists in compiling, typing, posting schedules and daily job assignments (in Google Drive) for the golf course maintenance staff.
- Compiles and submits to Comptroller monthly reports for Pesticide, Fertilizer, Sand & Seed inventory, fuel inventory, odometer reading, and golf course closing calendar.
- Prepares account recaps on a monthly basis, processes invoices and related documents for payment. Tracks monthly spending.
Maintains records and files for the golf course maintenance operation, including:
- Submits monthly/annually Water usage to SWFMD, fuel inventory & storage tank inspection, golf course maintenance calendar on closings, chemical inventory, pesticide records, equipment inventory.
- Submits all facility/SWFWMD permits to ensure we are in compliance.
- Maintains the inventory balance of regulation/putting green flags. Place order when needed.
- Maintains staff Pesticide/Fertilizer Licenses and Training requirements. BMP training of all staff.
- Review job applications and file any applications received.
- Current listing of building keys, credit card account numbers and to whom issued & computer passwords.
- Payroll information (including regular and overtime hours, sick time, vacation time etc.) for the entire golf course maintenance staff.
- Works with HR to track health insurance eligibility and distribute forms to golf course maintenance staff.
- Works with HR to schedule for probationary and annual performance evaluations for golf course maintenance staff.
- Keep Current Material Safety Data Sheets (MSDS) as required by law.
Employment standards:
- Requires high school diploma or equivalent.
- Has at least two years' experience in office administration or clerical position.
- Requires telephone experience and knowledge of word processing, spreadsheet and database management software. Some bookkeeping experience is helpful.
- Requires excellent organizational ability and sensitivity with confidential information.
Physical Demands and Work Environment:
- Must be able to reach, bend, stoop, stand, and lift up to 40 pounds.
- Must be able to sit for prolonged periods of time.
- Moderate noise level in the work environment.
