The Bellarmine College of Arts & Sciences invites applications for an Administrative Assistant who will provide administrative support for division chairs and faculty in multiple departments and programs. This is a full-time, 12-month position to begin March 1, 2024. Typical duties include issuing contracts for part-time faculty; processing new hires; maintaining load reports for full-time faculty; maintaining electronic syllabi files and faculty records; processing purchase orders, check requests, and reimbursements; hiring and supervising work study students; managing A&S social media outlets including Facebook and Instagram; and coordinating work through other offices as needed. Additional responsibilities may include assisting in A&S events by making room and food arrangements, taking minutes at Chair and A&S faculty meetings, performing routine clerical duties related to the office, and other essential tasks assigned by the division chairs, associate deans, and dean.
Job Requirements:
Minimum requirements include:
- High school diploma or GED equivalent
- At least 1 year of experience in an administrative support role preferred
- Strong organizational skills; detail-oriented and efficient
- Excellent computer skills, including but not limited to Microsoft Office Suite (Word/Excel/PowerPoint and Outlook, email)
- Strong interpersonal and teamwork skills
- Demonstrated leadership ability and problem-solving skills
- Ability to work independently with minimal supervision essential
- Strong verbal and written communication skills
- Proficiency in social media including Facebook and Instagram
- Ability to handle multiple assignments, while accommodating walk-ins and unexpected needs
