Job Summary:
We are seeking an Assistant Spa Manager with supervisory experience to oversee the daily operations of our Medspa facility. The Assistant Spa Manager will be responsible for overseeing the schedule and staff, ensuring exceptional customer service, and achieving sales targets while being the liaison between the main office and the satellite office. The ideal candidate will have a strong background in medspa coordination and a passion for delivering a seamless experience for our clients.
PRIMARY RESPONSIBILITIES
Employee Performance:
· Timeliness - Arrive 10 minutes before a scheduled shift
· Dress according to dress code, with professional: hair, makeup, and nails
· Positive team attitude!
Patient Communication:
· Reach out to patients to remind them to book their next appointment
· Field calls with leads interested in services
· Make reminder/confirmation calls one day prior to appointments and/or be responsible for reminder software for patients
· Coordinate patient messages to appropriate providers where necessary
· Close out sales, upsell when possible
Customer Service:
· Provide excellent Customer Service with a calm attitude
· Welcome patients upon arrival within 30 seconds, even if on the phone
· Check patients out efficiently/timely/correctly
· Answer the phone by the third ring
· Watch the waiting room to ensure clients are taken back on time
· Stay on top of staff schedule and timeliness
· Be conscious of appointment time lengths when scheduling
· Straighten spa waiting room, entry, and restrooms
Spa Cleanliness:
· Clean desk and waiting area (dust, arrange magazines, stock coffee bar)
· Stock retail shelves
· Abide by HIPAA requirements
· Stock desk with supplies
Clerical:
· Prep charts with appropriate paperwork for Patient
· Keep charts in the appropriate order and deliver them to the appropriate provider
· Pull charts one day prior
· Ensure all paperwork is completed in patient files
Money Handling:
· Manage daily cash drawer
· Reconcile daily spreadsheet
· Make bank deposits
Product/Service Knowledge:
· Attend all mandatory training/Meetings
· Know all current offers and specials
· Become proficient in all spa services within the first two weeks of hire
Office Management
· Be the point person for the main office manager
· Set the tone for the atmosphere with a positive attitude
· Be an example and oversee the team
· Be the eyes and ears to the main office manager
