This role will be fully onsite in Ozark, AL and require frequent coordination across Bell Ozark, Shell, Cairns, Fort Worth, TX, and other Bell locations.
Executive Assistant, Flight School Next (FSN)
Bring your experiences and ideas to help provide support for the General Manager – Flight School Next and leaders at our Bell facility in Ozark, AL. You’ll interface regularly with Bell senior leadership, internal stakeholders, U.S. Military and Government leadership, contractors, and external customers. This role will be an integral part of Bell’s success in providing the U.S. Army with a next-generation flight training program. You’ll play a critical role in ensuring seamless operations and meetings, enabling leadership to focus on strategic priorities.
What You’ll be Doing as an Executive Assistant – Flight School Next
- Effectively manage complex calendars, email correspondence, and schedules utilizing Microsoft Outlook to ensure seamless coordination of executive priorities.
- Ensure scheduling and prioritization of meetings and activities to align with business objectives and leadership goals.
- Prepare and manage written correspondence, PowerPoint presentations, and other relevant documents for leadership and team meetings.
- Compile data and navigate presentations during weekly staff meetings, both in person and via Microsoft Teams, ensuring accurate and timely information flow.
- Schedule domestic and international travel arrangements through the Concur Travel System and coordinate customer visits and events to support Flight School Next initiatives.
- Work closely with senior leadership, internal and external customers, and other Assistants, with regular interface with Assistants at the Fort Worth office, to ensure continuity of administrative support across the organization.
- Support the establishment of office processes and procedures in the formation of the Flight School Next facility
- Compile key performance metrics from Flight School Next Information Operations Data Systems for senior leadership and government personnel
- Support special projects and outreach initiatives assigned by leadership.
Qualifications
Skills You Bring to this Role
- High School Diploma or GED required.
- Bachelor’s degree, preferred.
- Minimum of 6 years of experience providing executive or leadership-level administrative support, preferably with a high level of Government and/or Military exposure
- Proven ability to manage complex calendars, email correspondence, and schedules for senior leadership
- Skilled in travel planning and expense reporting
- Strong written and verbal communication skills, particularly with executive leadership and external/internal stakeholders
- Ability to maintain confidentiality, exercise sound judgement, work independently, and understand/manage competing priorities with integrity and discretion
- Proficiency in Microsoft Suite Applications
