What are the responsibilities and job description for the Construction Scheduler position at Bell Mechanical HVAC?
Construction Scheduler — Own the Calendar That Runs Our Operation
At Bell Mechanical, a Hickory Company, great service isn't just what we do — it's how we build lasting relationships. For decades, we've been the trusted name in high-end residential HVAC across Westchester, Putnam, and Fairfield Counties. We're looking for a Construction Scheduler who combines logistical precision, calm-under-pressure communication, and true ownership to run the operational heartbeat of our installation and service calendar.
In this role, you won't just fill calendar slots. You'll own the schedule end to end — coordinating installation crews, managing the service dispatch board, and making sure every job starts on time, with the right team, the right equipment, and a customer who knows exactly what to expect.
What's in It for You?
- Top Pay: $50,000–$75,000 base salary, plus a monthly performance bonus tied to on-time scheduling and completed jobs
- Full Benefits: Medical, dental, and vision through United Healthcare; 401(k) with company match; paid vacation, sick time, and holidays
- Growth Path: Join Hickory's centralized services team with visibility across multiple HVAC brands and a clear track for advancement into operations leadership
- Training & Support: Paid training, weekly classes at our in-house training center, and company-sponsored certifications
- Strong Culture: Values-led, employee-first, and mission-driven — every day
Why You'll Love It Here
- Mission-Driven: We're on a path to become the Northeast's largest clean heat installation and service company.
- Purpose & Values-Led: Our business is powered by values we live — Put Employees First, Treat Everyone with Respect, Delight Customers, Raise the Bar, and Get It Done.
- Trusted Brand: Bell Mechanical's reputation for excellence spans decades in high-end residential HVAC.
- Advisor Culture: We don't want order-takers — we want people who coach, communicate, and build trust with every customer and crew interaction.
Your Role: Construction Scheduler
You'll be the hub between sales, installation, service, and the customer. Every sold job flows through you before a crew ever rolls a truck — and every service call lands on a board you run. When the schedule works, the whole operation works: crews stay productive, customers stay informed, and revenue lands on time. As our Construction Scheduler, you will:
- Build and manage the installation schedule — assign crews to sold jobs, balance workloads across teams, and sequence multi-day installs for maximum efficiency
- Run the service dispatch board — prioritize demand calls, maintenance visits, and callbacks, and dispatch technicians in real time as the day evolves
- Confirm every job with the homeowner — arrival windows, site prep, and what to expect — so no customer is ever surprised
- Coordinate equipment deliveries, permits, and material readiness with warehouse and install managers — no crew shows up missing parts
- Handle schedule changes with urgency — weather, parts delays, sick calls — re-slotting jobs and communicating with every affected crew and customer
- Keep the CRM and dispatch software clean — accurate job statuses, crew assignments, and notes on every job, every day
- Communicate daily with sales, install managers, and service managers so the field and the office always see the same picture
- Track and report on scheduling metrics — on-time starts, technician utilization, and jobs completed per week — to team and leadership
- Adhere to and help build best practices for the scheduling and dispatch function
- Other duties as assigned
Hiring Expectations: Apply today, complete a quick phone screening, and get ready for an interview with our team to discuss your experience and how you keep a busy schedule on the rails. We move fast for the right person.
Job Requirements

- Comfortable juggling a high volume of moving pieces — multiple crews, dozens of active jobs, and constant changes is a normal day here
- Strong verbal and written communication skills — you're the connective tissue between the office, the field, and the homeowner
- Technology is a core competency — strong computer skills and the ability to quickly learn scheduling and dispatch systems are essential; ServiceTitan or Pipedrive a plus
- Strong attention to detail and accurate data entry — schedule and CRM hygiene are non-negotiable
- Calm under pressure and decisive — able to re-plan the day quickly when weather, parts, or people change the picture
- Reliable, punctual, and able to follow structured processes in a fast-paced environment
- Bilingual (English/Spanish) is a plus
- Full-time, in-office availability required; limited PTO during peak summer season (June–August)
- Background check required
