The Retail Doc Prep Supervisor oversees the daily operations of the retail documentation team, ensuring accurate and timely preparation of deposit and loan documents. This role provides supervisory support, maintains compliance with internal policies and regulatory requirements, and collaborates with retail banking teams to support client onboarding and account maintenance. The supervisor also plays a key role in training, process improvement, and system oversight.
Responsibilities:
Team Leadership & Supervision
- Set a strong example for direct reports and foster a culture of accountability, collaboration, and continuous growth.
- Provide continuous coaching and mentorship, targeting growth and learning opportunities to develop skills of direct reports.
- Align team goals with the company's mission and objectives, ensuring clarity in priorities and direction.
- Proactively identify potential issues, facilitate open communication, and implement solutions that support team cohesion and overall effectiveness.
Compliance & Quality Assurance
- Oversee the review and accuracy of documentation, delegating tasks as appropriate.
- Address escalated issues and implement effective resolutions.
- Audit denied and withdrawn files to ensure compliance with internal and external standards.
- Maintain up-to-date knowledge of state, federal, and regulatory requirements impacting retail loan documentation.
- Collaborate with Retail Underwriting, Compliance Officers, and Loan Operations leadership to ensure policy adherence.
System Oversight & Support
- Manage testing, troubleshooting, and training for documentation platforms such as LaserPro and nCino.
- Develop and maintain documentation procedures, forms, and workflows.
- Identify and report procedural or policy gaps, recommending improvements to enhance operational efficiency.

Education, Experience, and Other Expectations
- Bachelor's degree in business administration or similar field; or equivalent work experience.
- 4-6 years of experience in retail loan documentation.
- Team lead or supervisory experience preferred.
- Previous experience using LaserPro and nCino.

- Excellent communication skills (written and verbal) for training and development.
- Detail-oriented with strong organizational and multitasking abilities.
