Position Summary
The position is responsible in helping oversee the daily administrative functions of the practice. This role serves as a key point of contact for patients, manages scheduling and office workflows, coordinates insurance and billing processes, and supports efficient office operations. The ideal candidate is professional, dependable, friendly, and capable of managing multiple priorities in a fast-paced healthcare environment.
Key Responsibilities
- Manage patient scheduling, appointment confirmations, and calendar coordination
- Answer incoming calls and respond to patient inquiries professionally and efficiently
- Verify insurance eligibility and benefits prior to appointments
- Maintain accurate patient records and update electronic health records as needed
- Process patient payments, balances, and related administrative documentation
- Coordinate patient check-in and check-out procedures
- Manage office correspondence, email communications, and document filing
- Assist with insurance claims, authorizations, and billing support
- Monitor office supplies and place orders as needed
- Support providers and staff with administrative tasks and workflow coordination
- Ensure compliance with office policies, procedures, and patient confidentiality standards
- Maintain an organized, professional, and welcoming office environment
Qualifications
- High school diploma or equivalent required; associate degree preferred
- Administrative or medical office experience preferred
- Previous experience in an optometric, ophthalmology, or healthcare setting is a plus
- Strong organizational, time management, and multitasking skills
- Excellent written and verbal communication abilities
- Proficiency with Microsoft Office, scheduling software, and electronic medical records systems
