Position Summary:
Hub 757 is seeking an Event Manager to join its team part time, Monday thru Friday. In this role you will be responsible for supporting our clients booked by the Sales Manager by tending to client needs. This includes, but is not limited to, providing a welcoming environment for visitors, planning events alongside our clients and their vendors, and ensuring everyone involved with the event is prepared before the event date. We’re looking for someone who is organized, has a passion for customer service, and is detail oriented. As the Event Manager, you will be the front line of service for our customers. This position will require roughly 28 hours a week. Pay is negotiable.
Responsibilities:
· Use CRM software to input all customer communication including logging calls, emails, and meetings
· Conduct walkthroughs for all booked clients in preparation of their event
· Is the frontline of service for all visitors and phone calls, transferring them to respective departments
· Create invoices and process clients payments as well as cancellations
· Tend to client care with follow up emails, care cards, and check ins during event planning
· Send routine emails to clients and their vendors to prepare them for the upcoming event
· Follow up with clients regarding payment reminders, event due dates, and reminders of venue policies
· Builds relationships with local vendors and keeps a pulse on event trends
· Conduct tours and final walkthroughs for scheduled clients and leads, as well as walk ins
· Acts as the Event Specialist for weekday events held during business hours
· Hire, manage, cast vision with, and terminate Event Specialists. This includes posting their monthly shifts for events.
Qualifications:
- 2-3 years of administrative experience required, event management related experience preferred
- Strong time management skills, communication skills, both written and verbal, and interpersonal skills
- Experience using CRM software as part of the sales process
- Comfortable with making frequent calls and multi tasking while on the phone
- Proficient in Excel, Word, and Power Point
- Professional business image and candor
- Must have exceptional listening and problem-solving skills
- Must be able to deal with frequent change, delays or unexpected events in a calm and professional manner
