Key Responsibilities
- Portal Setup & Management
- Maintain and manage all BELFOR portal accounts, including new setups, company profiles, registrations, renewals, and fee payments.
- Track portal status, requirements, and internal customer alignments.
- Ensure all portal invitations are sent to and processed via the dedicated Portals inbox.
- Work Order & Automation Support
- Ensure correct routing of Work Orders to the Technical Command Center (TCC) for automated lead entry.
- Assist in assigning Account Managers (AMs) and verifying correct BCS alignment.
- Troubleshoot work order visibility, routing, email notifications, or automation failures.
- User Access Management
- Process new user access requests, verify office access history, and obtain General Manager (GM)/AM approval.
- Create user accounts, configure permissions, and remove access after termination via the Kace system.
- Maintain the Portal Login Tracking sheet with updates for all user access changes.
- Compliance & Documentation
- Upload and manage required documentation (W9, COI, Safety forms, ACH, check requests).
- Coordinate with Health & Safety for safety-heavy platforms/questionnaires.
- Support registration and contract processes with Sales, AMs, Legal, and National Accounts teams.
- Customer & Portal Alignment
- Research and align portal companies with correct BCS customers using corporate data, logos, and address verification.
- Maintain the Portals Master Customer List with updated connections, dependencies, and client requirements.
- Inbox & Communication
- Manage the Portals inbox, triage messages, and route to appropriate teams.
- Communicate with client contacts, portal support teams, and internal departments to resolve issues.
- Provide guidance to field offices, AMs, and internal teams on portal usage and requirements.
- Other projects and duties as assigned.
- Experience with database management and data integrity.
- Strong organizational skills and attention to detail, especially in a multi-platform environment.
- Excellent written and verbal communication skills for liaising with internal and external stakeholders.
- Ability to troubleshoot technical issues related to data routing and system access.
- Proficiency in Microsoft Office Suite (especially Excel/data tracking).
- Primarily sedentary role working at a desk utilizing computer systems and phones.
- Ability to work effectively in a high-volume, detail-oriented environment.
