Job Summary
We are seeking a highly organized and professional LIVE IN Front Desk Manager to oversee daily office operations and provide exceptional customer service. The ideal candidate will possess strong administrative skills, experience managing front desk functions, and the ability to handle multiple responsibilities efficiently. This role is vital in ensuring smooth office workflows, maintaining accurate records, and supporting overall office management.
Duties
- Manage front desk operations, including greeting visitors and handling inquiries with professionalism and courtesy
- Operate multi-line phone systems, screen calls, and direct them appropriately
- Utilize Office management software such as QuickBooks and Microsoft Office Suite for data entry, record keeping, and document proofreading
- Schedule appointments, manage calendars, and coordinate meetings using Google Workspace tools
- Maintain organized filing systems—both digital and physical—and ensure confidentiality of sensitive information
- Assist with administrative tasks such as typing correspondence, data entry, and proofreading documents
- Support bookkeeping activities including invoicing and basic financial record keeping
- Provide excellent customer support via phone, email, or in person, demonstrating strong phone etiquette and customer service skills
- Handle clerical duties such as filing, copying, and managing office supplies
- Support other administrative functions as needed to ensure efficient office operations
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent communication skills, including phone etiquette and customer service experience
- Bilingual abilities are a plus to serve diverse clients effectively
- Strong computer literacy with the ability to manage multiple computer applications simultaneously
- Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment
- Experience with calendar management and scheduling tools
- Clerical experience including data entry, filing, proofreading, and document management
- Knowledge of medical or dental receptionist duties is advantageous but not required
- Personal assistant or office support experience will be considered a plus
