What are the responsibilities and job description for the Office Manager/Administrative Assistant for Synagogue position at Beit Ahavah Reform Synagogue?
Beit Ahavah ~ the Reform Synagogue of Greater Northampton, is an inclusive, creative, progressive Jewish congregation based near downtown Florence, MA, seeking an Office Manager with excellent administrative, office, organization and people skills for approximately 15 hours a week. We share space with Bombyx Center for Arts & Equity in the historic Florence Congregational Church.
The Office Manager works with our rabbi, and a small professional and volunteer team to assist and manage administration tasks for our membership. We seek someone who is highly organized, dependable, creative, with great communication and problem solving skills, enjoys collaboration while working independently and can bring your own ideas and experience forth in a positive mission-driven environment.
Flexible daytime shifts can be accommodated, but must work at least 3-4 days per week consistently during usual weekly business hours with Tuesday-Friday preferred. There are occasional holiday or community events on evenings or weekends where the Office Administrator will be needed.
Primary Responsibilities:
● Day-to-day operation of the synagogue office, improving and creating efficient systems to maximize potential; implementing procedures necessary for the smooth and efficient administrative functions.
● Provide administrative support and collaboration with the Rabbi and Board leaders.
● Some facility coordination, i.e. calendaring and event set up, coordinating with staff or vendors.
● Updating the website and calendar.
● Financial and membership database entry, spreadsheets and tracking; generating communications and thank you letters; processing checks, mail, bills, supplies ordering, and other tracking.
● Implement strategies to maintain, expand and engage membership, along with leaders and committee members.
● Serve as welcoming contact with potential members (by phone, email and in person), and as office point of contact for existing member concerns, engagement and projects.
● Coordinate and support publicity and PR, working with Rabbi, lay leaders and staff to communicate, promote and publicize programs, initiatives, and activities (i.e. flyers, social media, advertising, community calendars, newsletter, emails).
● Generate weekly and monthly Highlights newsletter, e-publications and updates; manage/update website, utilize synagogue social media, and community mailings.
● Create engaging promotional materials for religious services, events, and other programs using Canva and other design platforms.
● Oversee, coordinate and manage some special events to ensure smooth operations.
● Coordinate some hands-on set up and clean up of services and events, direct set up, or oversee set-up staff and/or volunteers.
Qualifications:
● Ability to work supportively in a team with a variety of volunteers with positivity, patience and respect.
● Strong time management skills, including the ability to multitask, prioritize work activities, work independently, and update supervisors or project coordinators.
● Excellent written and verbal communication skills.
● Flexibility and ability to adapt to changes in the work environment.
● Proven personal integrity, dependability and ability to maintain confidentiality.
● A passion for PR and experience and proficiency or comparable experience working in Zoom, Google Suite, Microsoft Office, Mailchimp, Zeffy (or equivalent), Canva and Quickbooks.
● Experience with Wordpress for website or similar platform.
● Knowledge of progressive Jewish culture and/or a dedicated willingness to learn.
● Ability to lift or transport up to 25 pounds (tables, chairs, organization of books and supplies).
Preferred experience:
● Excellent office management, written and verbal skills.
●Jewish communal work experience and/or comparable non-profit organization and/or religious/educational/social service/arts institution.
● Experience and compatibility with progressive Judaism and/or willingness to learn.
● Experience in event support and team work.
● Experience working with and coordinating volunteers and all ages and types of people.

Pay: $20.00 - $22.00 per hour
