This role requires excellent organization, communication, and time management skills to meet deadlines and deliver timely, accurate proposals to customers.
Essential Job Functions
- Compile comprehensive sales proposals, which include receiving and confirming RFQs from customers or sales representatives.
- Request and gather pricing from vendors to align with project specifications.
- Compile and verify pricing, scope, and supply for all requested systems and equipment.
- Prepare professional proposals for customer review.
- Track and maintain records of quotes and monitor the progress of active sales opportunities.
- Manage documentation control of technical specifications from customers and pricing information from vendors.
- Prepare cost summaries and sales proposal documents for management approval before delivering final quotes to customers.
- Develop cost analyses and draft quote letters for prospective projects.
- Attend estimating team meetings to report current workload and updates on sales opportunities; participate in sales meetings to discuss new potential projects and ongoing bids.
- Update the Quote Log monthly with the latest information on each delivered, active, or sold quote.
- Report quarterly to management on ongoing projects with high potential.
Competencies:
- Strong organizational and communication skills.
- Ability to manage deadlines, prioritize tasks, and follow up effectively with vendors and sales representatives.
- Knowledge of the maritime industry is a plus.
- Bachelor’s degree in business or a related field.
- A minimum of one year of experience in estimating.
- Proficiency in Microsoft Office, especially Excel and Word.
- Ability to move around within the office setting or travel to attend meetings, conferences, or other business-related events.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 35 pounds at times.
- Must be able to access various departments of a given location.
- Must be able to effectively communicate with team members, vendors, and other stakeholders, both in person and through digital communication platforms.
