In this role, you will provide support to staff, ensuring they have all the information and resources they need to perform their best to include inputting schedules, coordinating assessments with clinical team, gathering and supporting other administrative tasks as necessary. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills in English and Spanish (required) and a friendly demeanor to support clinical staff and families. Responsibilities Answer incoming phone calls and route them to the appropriate person from call center when escalatedSchedule appointments and maintain a calendar for Executive TeamOrganize meetings and take accurate minutes Write emails, memos, and letters and distribute them appropriatelyContribute to company reports by ensuring all reports are completed before end of authorizationMaintain an organized filing system for clients and staff Develop, update, and maintain relevant office procedures as directed by Executive TeamQualificationsHigh school diploma/GED required, Associate’s degree or administrative training is preferredPrevious experience as an Administrative Assistant or in a similar positionPrevious experience as ABA Coordinator or ABA Scheduler Familiarity with standard office equipment such as printers and fax machinesExcellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPointHighly organized with excellent time management skills and the ability to prioritize projects
