Position Overview:
Behavioral Health Consulting Services is seeking a highly organized, professional, and dependable Clinical Operations Coordinator to support daily center operations, staffing coordination, family communication, operational workflow, scheduling, and the clinical team within our ABA and behavioral health programs.
This role is focused on operational support, communication, problem-solving, scheduling management, and maintaining consistency across daily center activities. The ideal candidate is calm under pressure, responsive, solution-focused, and able to manage multiple operational responsibilities in a fast-paced clinical environment while supporting the needs of both families and the clinical team.
Primary Responsibilities:
- Develop, manage, and adjust daily and weekly staff schedules
- Coordinate staffing coverage and assist with same-day schedule adjustments and call-outs
- Support floor operations and maintain active oversight of daily center workflow and staffing needs
- Communicate with families regarding staff absences, schedule changes, cancellations, late arrivals, treatment hour adjustments, and operational updates
- Support families in understanding treatment schedules, staffing coverage, attendance expectations, and ABA treatment hour recommendations
- Maintain strong and professional communication with families regarding operational and scheduling concerns
- Provide operational and communication support to the clinical team
- Assist with staff communication regarding schedules, attendance, and operational expectations
- Support leadership and clinical staff with day-to-day operational coordination
- Assist with weekend operational coordination and ongoing on-call communication support
- Respond to operational concerns involving staffing, attendance, family communication, and scheduling needs during evenings and weekends as needed
- Help support recruiting efforts, including applicant communication and interview coordination
- Maintain professionalism and confidentiality in all staff and family interactions
- Support organization, follow-up, and communication across departments
Qualifications:
- Bachelor’s degree required; Master’s degree preferred
- Must have understanding and knowledge of ABA services, treatment recommendations, staffing structures, and clinical operations
- Strong communication and organizational skills
- Ability to communicate professionally and confidently with families regarding treatment schedules, attendance, staffing, and operational concerns
- Ability to remain calm and professional in fast-paced or high-pressure situations
- Reliable, responsive, and solution-focused
- Experience in healthcare, ABA, behavioral health, scheduling, operations, or customer service preferred
- Ability to multitask and problem solve effectively
- Experience with scheduling systems, electronic communication, and administrative coordination preferred

Schedule Expectations:
