Scheduling Coordinator | Pediatric Therapy Clinic
Behavior Matters SC is seeking a highly organized, proactive Scheduling Coordinator to manage client scheduling and support the daily flow of our growing pediatric therapy clinic.
This is not simply a front desk position. We are looking for someone who takes ownership, communicates confidently, stays ahead of changes, and understands that a well-managed schedule directly impacts our families, clinicians, and clinic operations.
What You'll Do
- Own and maintain provider and client schedules across multiple therapy disciplines
- Schedule, confirm, reschedule, and coordinate appointments with families and clinicians
- Identify scheduling gaps, conflicts, cancellations, and coverage needs and work proactively to resolve them
- Communicate professionally with families by phone, email, and messaging
- Manage incoming calls and front desk communication with excellent customer service
- Maintain accurate client and scheduling information within our systems
- Track cancellations, attendance, schedule changes, and other scheduling needs
- Coordinate with clinical and administrative teams to keep schedules accurate and efficient
- Greet families and visitors and help maintain an organized, welcoming front office
- Assist with administrative tasks and daily clinic operations as needed
Who We're Looking For
You are organized, confident, dependable, and comfortable managing a lot of moving pieces without needing constant direction.
Required:
- Previous medical office, healthcare scheduling, or comparable high-volume scheduling experience
- Strong organizational and time-management skills
- Excellent phone and written communication
- Strong computer skills and ability to learn new systems quickly
- High attention to detail and follow-through
- Ability to prioritize and problem-solve in a fast-paced environment
- Professional, warm, and confident communication with families and staff
Preferred:
- Pediatric, therapy, behavioral health, or specialty medical office experience
- Experience with EMR/EHR and scheduling systems
- Bilingual English/Spanish
