Overview
The Occupational Health & Safety Specialist is the primary owner of occupational health, safety compliance, and regulatory reporting for Employee Health, allowing clinical staff to focus on care delivery and assessments. The Specialist administers OSHA programs, workers compensation reporting, vaccination and fit testing compliance, and safety data governance to ensure regulatory accuracy, audit readiness, and enterprise wide consistency.
Responsibilities
Regulatory Compliance & Program Administration
- Serve as the organizations operational owner for occupational health and safety compliance, including OSHA, state, and accrediting body requirements.
- Maintain all required OSHA documentation and reporting, including OSHA 300/300A logs, exposure records, and annual submissions.
- Ensure required postings, documentation retention, and record accuracy are maintained in accordance with regulatory standards.
- Prepare, coordinate, and support audits, inspections, and regulatory inquiries, including document production, tracking findings, and ensuring closure of corrective actions.
Workers Compensation & Injury Reporting
- Own initial workers compensation injury reporting workflows, including intake, documentation accuracy, and timely submission.
- Maintain the system of record for work related injuries, illnesses, and safety incidents.
- Partner with Risk, HR Operations, and Employee Health to ensure data integrity, trend reporting, and compliance (without providing clinical care).
- Produce recurring and ad-hoc reports related to injury frequency, severity, and trends.
Vaccination, Fit Testing & Surveillance Compliance
- Administer and track vaccination compliance requirements, including onboarding, annual campaigns, exemptions, and documentation.
- Coordinate respiratory protection and fit-testing compliance, including scheduling, records management, and audit support.
- Maintain compliance tracking systems and dashboards, ensuring real-time visibility for leadership and regulators.
- Escalate non-compliance and gaps to leaders and Employee Health management for resolution.
Data Governance, Reporting & Metrics
- Own occupational health and safety data governance, including standard definitions, reporting cadence, and audit trails.
- Develop and maintain dashboards and reports related to OSHA metrics, vaccination compliance, exposures, and safety trends.
- Support leadership, committee, and board-level reporting with accurate and defensible data.
- Identify reporting gaps, process failures, and compliance risks, recommending corrective actions and process improvements.
Policy, SOP & Process Design
- Develop, maintain, and standardize SOPs and workflows for occupational health and safety compliance activities.
- Ensure clear delineation of responsibilities between Employee Health clinical staff and compliance/reporting functions.
- Support enterprise safety committees with documentation, metrics, and regulatory updates.
Collaboration & Advisory Role
- Serve as a subject-matter resource for leaders and departments on occupational health and safety compliance requirements.
- Partner with Employee Health to transfer and centralize compliance work, reducing clinical administrative burden.
- Coordinate with HR Operations, Risk, Facilities, and Legal as needed to meet regulatory obligations.
Qualifications

- Strong working knowledge of OSHA and workplace safety regulations.
- High attention to detail with excellent documentation and record-keeping skills.
- Ability to manage complex compliance workflows independently.
- Strong analytical and reporting capabilities
- Proficiency in Microsoft Office and reporting systems.
- Ability to handle sensitive and confidential information in compliance with HIPAA and organizational standards.
Experience Required
- Experience in an office setting and working with excel required
- Experience in occupational health, safety compliance, regulatory reporting, or healthcare operations preferred
