Beckman Heritage Farms is a family-owned and family-oriented event venue and working farm located in Burlington, Iowa. The farm hosts weddings, markets, and seasonal attractions, all designed to celebrate Iowa’s rural heritage and foster a strong sense of community. The venue offers a picturesque countryside setting and is seeking a personable, organized, and customer-service-oriented Wedding & Events Coordinator to help couples and guests create memorable experiences.
Position Overview
This role is a part-time, as-needed position with immediate availability. The Wedding & Events Coordinator will assist with all aspects of wedding and event bookings, serving as the first point of contact for inquiries. Responsibilities include guiding clients through the booking process and ensuring a seamless, professional experience from the initial email to the final farewell. The coordinator will report directly to the owners of Beckman Heritage Farms and work closely with them to uphold the farm’s values, service standards, and event operations. In addition to weddings, the coordinator will help organize smaller weekday events such as showers, meetings, and private gatherings. Some remote work is required, including virtual meetings with clients and vendors via Zoom and other communication tools.
Key Responsibilities
· Serve as the primary contact for wedding and event inquiries, managing communications via email and phone.
· Meet with prospective clients to provide venue tours and consultations, both in person and virtually.
· Follow up on leads and site visits to secure bookings.
· Develop and present customized quotes for weddings and events based on each client’s needs.
· Coordinate event details with couples prior to their events, including timelines, vendor access, and setup requirements.
· Work with outside vendors to book additional equipment or rental items requested by clients.
· Assist with booking and managing smaller weekday events, such as showers, meetings, and family celebrations.
· Be present onsite during weddings and larger events as needed to assist with logistics and client communication, as arranged by package.
· Supervise event-day staff and vendors to ensure smooth setup, transitions, and tear-down.
· Schedule and oversee setup and cleaning personnel for each event.
· Help develop and implement event packages to enhance the venue’s offerings and guest experience.
· Contribute to marketing strategies to promote weddings and other events at Beckman Heritage Farms.
· Ensure guest safety and satisfaction throughout all events.
· Handle difficult interactions with calm professionalism, providing appropriate resolutions.
· Manage billing and payroll using provided software tools.
· Maintain accurate records, including invoices, contracts, and schedules, using Microsoft applications and shared files.
· Deliver friendly, professional customer service to all guests, vendors, and partners, representing the farm.
Qualifications
· AA degree or higher preferred; equivalent experience in event or wedding management will be considered.
· Previous experience in event or wedding management required.
· Supervisory or team leadership experience is preferred.
· Ability to create customized event quotes and manage related billing and invoicing.
· Proficiency with Zoom, email, Microsoft Office, and scheduling tools.
· Experience with basic billing, payroll, or bookkeeping software (training available if needed).
· Strong customer service, interpersonal, and organizational skills.
· Demonstrates trustworthiness, dependability, and the ability to work independently.
· Reliable transportation is required.
· Must be able to work flexible hours, including evenings and weekends.
· A background check is required; criminal history will be considered in relation to job duties.
· Occasional use of a personal phone and computer may be necessary for communication and scheduling.
Compensation
Compensation for this role is competitive and based on experience and qualifications. The position is paid hourly, on an as-needed basis, for time spent communicating with clients, conducting tours, coordinating events, and managing related tasks. As business levels increase, successful candidates may be offered additional opportunities.
