We are seeking an organized and detail-oriented Administrative Assistant to provide administrative support services for our organization. The successful candidate will be responsible for providing a wide range of administrative support services, including preparing and distributing correspondence, compiling reports, updating policies and procedures, maintaining budget information, creating forms, and completing other documentation as needed.
Key Responsibilities:
Our Administrative Assistant is responsible for the following:
- Providing administrative support services in an accurate and efficient manner.
- Preparing and distributing correspondence, compiling reports, updating policies and procedures, maintaining budget information, creating forms, and completing other documentation as needed.
- Scheduling appointments and meetings where appropriate.
- Maintaining master calendar, assisting residents and their families with room reservations and event planning, coordinating with other departments, and coordinating classroom set up as needed.
- Maintaining department AV equipment and training staff/instructors to use equipment as needed.
- Issuing, preparing, and processing material requests, purchase orders, and invoices as needed in a timely and accurate manner.
- Utilizing the Kronos payroll system to review payroll records for approval.
- Arranging travel for department when requested.
- Processing and tracking CPR supply orders and training receipts.
- Reconciling Corporate Credit Card on a monthly basis.
- Maintaining petty cash account for department.
- Maintaining departmental budget and updating Director on status.
- Preparing correspondence, reports, memos, and fliers. Performing filing, typing, copying, and distribution of interoffice mail as needed.
Requirements:
We are seeking a highly skilled and motivated individual with the following qualifications:
- High School graduate or equivalent. Associate degree or certificate preferred.
- Excellent computer skills, MS experience, strong ability to learn new software.
- Self-starter with an ability to thrive and work independently and as part of a team.
- Strong attention to detail, ability to prioritize and organize multiple projects, problem-solve, and adapt to a constantly changing environment.
- Effective written and oral communication skills.
