Beautiful Life Estate Planning, APLC is a boutique estate planning law firm in Scotts Valley seeking a proactive, organized, and warm Executive/Administrative Assistant to support our attorney and keep our small firm running smoothly. This role is perfect for someone who loves variety, thrives in an office environment, and takes ownership of tasks with a positive attitude.
This is a 100% in-office role with essential daily responsibilities that include administrative support, client care, executive assistance, and running errands. No remote or hybrid work is available. Reliable transportation and a valid drivers license is required.

What You'll Do:
Executive Support (Essential Function)
- Keep the attorney informed and prepared for all meetings
- Manage professional and personal calendars and email inboxes
- Assist with personal and firm-related tasks and errands
- Coordinate appointments, travel, household services, and more
Office & Client Support (Essential Function)
- Answer the main phone line and greet clients warmly
- Maintain office supplies, snacks, water, and general upkeep
- Prepare documents for client signing appointments
- Assemble client binders and manage digital/physical files
- Process payments, prepare paperwork, and keep client data updated
Errands (Essential Function)
- Post office runs
- Costco and supply pickups
- Shipping/returns
- Weekly/pre-scheduled errands
- Delivery of documents and office items
Scheduling & Case Support (Essential Function)
- Manage calendars, deadlines, and meeting confirmations
- Maintain accurate records and ensure clients are supported compassionately
Event & Marketing Support (Essential Function)
- Assist with presentations, webinars, and firm events
- Attend monthly weekend marketing events (2–4 hours)

What You Bring:
- Friendly, warm, respectful communication style — clients and our attorney should feel supported
- Strong writing, organization, and follow-through
- Excellent judgment, discretion, and confidentiality
- Ability to anticipate needs and solve problems independently
- Ability to switch between executive tasks, office tasks, and errands as needed
- Strong computer skills; Keap or Lawmatics experience a plus
- Reliable car, valid driver's license, and readiness for errands daily
- A "no task too small" mindset and positive, professional attitude
Work Schedule & Compensation
- Monday–Friday, 8:30 AM–5:30 PM, onsite every day
- Occasional evenings if needed
- Approx. one Saturday/month for marketing events (2–4 hours)
- $52,000/year, plus year-end bonus based on firm growth
- PTO paid holidays
- Monthly payroll via direct deposit
