Primary Purpose
The Administrative Support position is responsible for the day-to-day activities of documenting and monitoring resident maintenance and housekeeping issues. There is an expectation of a high standard of responsiveness, appearance, service, and professionalism.
Duties and Responsibilities
- Assists Vice President Operations and Director Operations with all projects.
- Acts as Liaison with Residents and other units as needed.
- Coordinates calendars and sets up meetings.
- Prepares department timecards for management approval.
- Maintains departmental contracts.
- Tracks and monitors issues in Work Hub.
- Makes suggestions to management for department efficiency.
- Assists management in bill payment and monitoring costs.
- Researches new initiatives and makes recommendations.
- Exhibits a high degree of patience and tolerance.
- Ongoing involvement outside immediate work unit.
- Offers or obtains basic information or provides assistance on general matters.
- Understands and conveys more complex messages and instructions and acts accordingly.
- Respectful of each resident’s privacy and dignity and takes all measures to provide them.
- Other duties as assigned.
Qualifications/Skills
- One to two years’ experience in an administrative capacity.
- Ability to read and write the English language.
- Complex variety of job tasks requiring coordinating steps/procedures.
- Possesses the highest work ethics and leads by example.
- Anticipates resident needs and ensures that service meets/exceeds expectations.
Physical Requirements
- Long periods of sitting and standing.
- Regular multiple or conflicting demands, deadlines, emergencies, or time pressures.
- Regular sustained concentration.
- Considerable physical effort or a high degree of fine finger or hand dexterity while filing and using the computer.
- Must be able to evacuate residents in an emergency.
Education
- High School Diploma or GED required. May substitute years of experience.
