Job Summary The College Administrative Assistant provides essential administrative and clerical support to a specific department or functional area within the college/university. This role is crucial in ensuring the smooth and efficient operation of the department by managing daily tasks, facilitating communication, and supporting staff and students. The ideal candidate is highly organized, detail-oriented, possesses excellent communication skills, and demonstrates a strong commitment to service excellence within an academic environment. Key Responsibilities Schedule and coordinate meetings, appointments, and events, including preparing agendas, taking minutes, and distributing follow-up actions. Manage office supplies, inventory, and equipment; place orders as needed. Assist with basic budget tracking and processing of invoices or expense reports. Maintain a tidy and organized office environment. Respond to routine inquiries, resolving issues or escalating them to the appropriate personnel. Assist in the preparation of reports, presentations, and other departmental documents. Assist faculty with administrative tasks, including course-related materials, scheduling, and record-keeping. Support departmental events, workshops, and programs. Perform data entry and maintain the integrity of databases. Utilize various office software and technology, including word processing, spreadsheets, presentation software, email, and calendaring systems (e.g., Microsoft Office Suite, Google Workspace). Qualifications High School Diploma or equivalent required. Associate's or Bachelor's degree in a relevant field is preferred. Strong attention to detail and accuracy. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or equivalent Google Workspace applications. Exceptional written and verbal communication skills. Strong interpersonal skills and the ability to interact professionally and courteously with a diverse population. Ability to work independently and as part of a team.
