Responsibilities
- Greet and welcome patients with professionalism and a positive attitude, ensuring an outstanding first impression.
- Answer incoming phone calls, respond to emails, and assist patients with scheduling, rescheduling, and confirming appointments.
- Manage patient records using Electronic Medical Record (EMR) systems such as Dentrix Ascend, ensuring accurate documentation while maintaining HIPAA compliance.
- Verify patient insurance information, collect co-pays and payments, and assist with billing inquiries.
- Coordinate patient flow by communicating effectively with dentists, hygienists, and clinical staff to ensure appointments run efficiently.
- Complete patient check-in and check-out procedures, including updating demographic information, obtaining necessary consent forms, and processing payments.
- Educate patients on office policies, financial arrangements, appointment expectations, and post-visit scheduling.
- Maintain an organized, clean, and welcoming reception area while ensuring office supplies and administrative materials are stocked.
- Assist with general administrative duties including filing, scanning, data entry, and preparing daily schedules and reports.
- Provide exceptional customer service by addressing patient questions and concerns with empathy, professionalism, and discretion.
Skills
- Previous experience in a dental, medical, or healthcare front office preferred.
- Proficiency with EMR software such as Dentrix Ascend or similar practice management systems.
- Strong understanding of HIPAA regulations and the importance of maintaining patient confidentiality.
- Excellent verbal and written communication skills with a professional and friendly demeanor.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Experience scheduling appointments, verifying insurance benefits, and processing patient payments is preferred.
- Proficiency in Microsoft Office and general computer applications.
- Excellent attention to detail and accuracy when managing patient information and financial transactions.
- Ability to work collaboratively with clinical staff while providing outstanding customer service to every patient.
