SUMMARY OF DUTIES AND RESPONSIBILITIES [Essential Functions]:
Driving Recruiting Progress & Hiring Momentum
- Drive the recruiting process forward from sourcing through onboarding, ensuring candidates move quickly, consistently, and without unnecessary delays
- Maintain hiring momentum across multiple searches by actively managing timelines, adjusting schedules, and resolving issues as priorities shift
- Execute sourcing strategies across ATS applicants, LinkedIn, Indeed, external recruiting partners, and MS Copilot (AI) supported workflows to continuously generate qualified candidate volume
- Review applicants, sourced candidates, and external submissions daily to identify individuals ready to move forward in hiring process
- Evaluate resumes to confirm baseline qualifications and position candidates for timely progression
- Manage candidate communication through email and scheduling tools (e.g., Outlook), confirming interest, availability, and next steps
- Coordinate all interview activity by scheduling, rescheduling, and aligning calendars across candidates and various hiring decision makers
- Arrange interview logistics, including virtual coordination and onsite visits with travel, accommodations, and detailed itineraries
- Ensure candidates and hiring teams are prepared, informed, and aligned at every step
- Manage post-offer acceptance communication and coordinate pre-employment steps to maintain engagement through start date
- Coordinate first day onboarding logistics, including communication, new hire paperwork, and new hire processing
- Maintain accurate records, update candidate statuses, and execute workflows within recruiting systems and AI-supported tools
Qualifications And Attributes
- Demonstrated ability to bring a positive, solutions-driven mindset with a team-first approach—adapting quickly to changing priorities, maintaining energy through challenges, and taking pride in delivering a seamless experience
- Comfortable using AI-enabled tools (Microsoft Copilot, ChatGPT, Claude, or similar) to support daily work, improve efficiency, and enhance recruiting execution
- Experience supporting recruiting or hiring processes in a corporate or professional environment
- Experience using applicant tracking systems (ATS), Microsoft Outlook (or similar), Excel, and email to manage candidate communication and scheduling
- Experience coordinating interviews, calendars, and logistics across multiple stakeholders
- Service-minded, with a commitment to delivering a high-quality experience for both candidates and hiring managers
- Highly organized with the ability to manage multiple priorities, schedules, and moving pieces simultaneously
- Strong ability to drive progress, maintain momentum, and follow through to completion
- Proactive and solution-oriented, with the ability to anticipate challenges and adjust quickly as priorities shift
- Strong written communication skills with a focus on clarity, professionalism, and responsiveness
