Responsibilities
- Oversee daily operational activities across the office, ensuring accuracy, efficiency, and compliance with firm policies.
- Implement and maintain operational processes and procedures to support scalability and service excellence.
- Collaborate with Client Service and Investment Operations teams to ensure smooth coordination of client onboarding, billing, reporting, and account maintenance.
- Manage private investment processes including capital calls, distributions, and custodian reporting.
- Maintain and update operational dashboards and reports for leadership visibility.
- Partner with internal stakeholders and custodian partners (e.g., Schwab, Fidelity) to resolve complex operational or client-related issues.
- Train and mentor team members on operational best practices and internal systems (CRM, portfolio management software, and custodial platforms).
- Participate in ongoing process improvement projects to streamline operations firmwide.
- Bachelor’s degree required (Finance, Business, or Economics preferred).
- 3 years of relevant experience in investment operations or client service, ideally within a Registered Investment Advisor (RIA) or investment management environment.
- Strong understanding of operational processes, financial reporting, and client account administration.
- High attention to detail, strong analytical and organizational skills.
- Excellent communication and problem-solving abilities with a service-oriented mindset.
- Proficiency with Microsoft Office; experience with Tamarac, Microsoft Dynamics, or similar systems preferred.
- Familiarity with custodian platforms such as Schwab, Fidelity, or TD Ameritrade is a plus.
