About the Role
We are seeking a highly organized, detail-oriented, and driven Operations Manager to become the central hub of our outdoor lighting company. This person will work closely with sales & project manager, as well as field technicians to ensure every job, customer, and process is handled efficiently from start to finish.
This is a high-impact role for someone who thrives on ownership, accountability, and keeping a business running smoothly. You will be responsible for financial tracking, scheduling, CRM management, and internal coordination—while also helping identify opportunities for growth and improvement.
Key Responsibilities
Operations & Coordination
- Act as the primary point of coordination across sales, project management, and technicians
- Schedule sales appointments, repairs, and internal meetings
- Optimize scheduling to ensure efficient routing and time management for technicians
- Maintain organization across all company systems and communications
Financial Tracking & Invoicing
- Ensure all jobs are properly entered, billed, and tracked in QuickBooks
- Create and manage customer records and invoices
- Monitor incoming payments and follow up on outstanding invoices
- Match payments to invoices and ensure accurate financial records
- Maintain documentation such as COIs and ensure compliance requirements are met
CRM & Sales Support
- Maintain and update CRM (HubSpot) as deals progress through the pipeline
- Assist in creating and reviewing sales proposals with strong attention to detail
- Ensure all leads and opportunities are properly followed up on
- Support the sales manager in maintaining an organized and effective sales funnel
Team Accountability & Leadership
- Lead or coordinate weekly meetings to ensure all work is accounted for and nothing falls through the cracks
- Follow up with team members on outstanding tasks, billing, and job completion
- Serve as the go-to resource for company information (contacts, job details, insurance, etc.)
Customer Communication
- Answer incoming calls and direct inquiries appropriately
- Provide information to customers or route technical questions to the sales manager
- Maintain professional and helpful communication at all times
Administrative Oversight
- Manage ongoing administrative needs such as insurance, audits, and compliance documentation
- Send marketing materials, thank-you notes, and client communications
- Proactively identify cost-saving opportunities (e.g., insurance quotes, vendors)
Business Development
- Facillitate relationships with builders, contractors, and partners
- Help generate new business opportunities
- Earn commission on any business you help bring in
Qualifications
- Strong experience with QuickBooks (required)
- Experience with CRM systems (HubSpot preferred)
- Excellent attention to detail (grammar, data accuracy, organization)
- Proven ability to manage multiple priorities and keep systems organized
- Strong communication and problem-solving skills
- Leadership experience and strong ability to hold teams accountable to systems
- Self-motivated and proactive mindset
- Experience in the construction or skilled trades industry is strongly preferred. This role requires a solid understanding of job site workflows, trade coordination, and how projects come together in the field

Compensation & Growth
- Base salary: $60,000 – $80,000 (based on experience)
