Position Summary

The RCM Trainer is responsible for developing, delivering, and evaluating training programs that enhance staff competency across all patient access functions. This includes insurance verification, financial clearance, treatment plan workflows, collections, and billing processes. The Trainer ensures team members are equipped with the knowledge, tools, and skills required to deliver exceptional patient experience while maintaining operational accuracy, compliance, and efficiency.

Key Responsibilities

Training & Development

  • Design, develop, and facilitate training for new hires and ongoing training for existing staff across patient access functions.
  • Create training materials including SOPs, job aids, workflows, competency checklists, and e-learning resources.
  • Conduct hands-on and classroom-style training on:
    • Insurance verification workflows
    • Benefits and eligibility
    • Pre-Determinations
    • Treatment plan understanding and navigation
    • Point-of-service collections
    • Billing and reimbursement basics
    • Financial counseling best practices
  • Assess trainee performance and document proficiency through testing, observation, and competency validation.

Operational Knowledge & Support

  • Serve as a subject matter expert (SME) for patient access and revenue cycle front-end functions.
  • Stay current with payer rules, regulatory requirements, and organizational policy changes that impact insurance verification, billing, and collections.
  • Collaborate with Patient Access leadership, Revenue Cycle, and Clinical teams to ensure workflows are aligned across the continuum.


Quality, Compliance & Performance Improvement

  • Audit staff work for accuracy, completeness, and compliance with organizational and payer requirements.
  • Identify training gaps and develop targeted education to address performance issues.
  • Support initiatives that improve financial clearance, reduce denials, optimize collections, and elevate patient experience.
  • Monitor and report training program outcomes and recommend continuous improvements.


Communication & Collaboration

  • Partner with operational leaders to understand training needs based on metrics, quality findings, and workflow changes.
  • Communicate effectively with staff at all levels, providing coaching, feedback, and support.
  • Participate in cross-functional meetings, system build reviews, and revenue cycle improvement projects.


Qualifications

Education & Experience

  • High school diploma required, associate or bachelor’s degree preferred.
  • 3 years of experience in patient access, insurance verification, medical billing, collections, or related revenue cycle function.
  • 3 years’ experience with medical and dental coordination of benefits
  • 3 years knowledge of primary payor determination between medical and dental policies
  • 3 years of training, mentorship, or leadership experience strongly preferred.
  • WinOMS experience preferred, DSN experience preferred


Skills & Competencies

  • Deep knowledge of dental insurance plans, coverage rules, benefits, and prior pre-determination requirements preferred
  • Strong understanding of treatment plan workflows within clinical or specialty environments.
  • Familiarity with billing processes, coding basics, and reimbursement methodologies.
  • Excellent communication, presentation, and facilitation skills.
  • Ability to translate complex processes into clear, teachable steps.
  • Strong analytical and problem‑solving abilities.
  • Proficiency with oral surgery and CDT codes preferred.

Special Requirements/Working Conditions:

  • Working in-office 5 days a week is an essential requirement of this role.
  • Combination of classroom, virtual, and in‑department training environments.
  • Occasional travel to training sites or clinical locations may be required.
  • Physical requirements include sitting, stooping, turning, standing, bending, walking, hearing, reading, writing and keyboarding, may lift up to 25 lbs.
  • Ability to sit behind a desk approximately 80% of the workday required.
