Accounting and Office Administrator
Accounts Payable
· Accurate Coding – Process corporate expenses by budget and line item accurately for reporting
· Obtain proper sign off of invoices from the Project Manager
· Daily payable processing and entry for all direct and indirect expenses
· Ensure that all invoices are entered within 24 hours of receipt
Accounts Receivable
· Ensure the entry of customer payments to the proper account
· Review AR Aging weekly to ensure accuracy
· Send customer reminders for delinquent accounts
Month-End Close
· Prepare and book journal entries for various general ledger accounts
· Reconcile various bank statements and balance sheet accounts
· Provide reconciliation reports to controller for review
Customer Service
· Ensure that we are representing the company professionally in support of the mission statement in all communications
· Identify issues, problems and trends and communicate findings, observations and solutions to management
· Reception duties including answering incoming calls, accurately reporting phone notes, complaints, managing voice mail and mail management
Sales Assistance
· Monitor and maintain sales tracking spreadsheet
· Perform weekly sales rep tracking report
· Maintain weekly proposal and leads tracking for sales meeting
· Maintain weekly phone log monitoring inbound sales & lead sources
General Office
· Maintain Front Office and Kitchen areas
· Monitor and stock office and kitchen with supplies
· Assist in maintaining all office equipment
· Respond to phone and email messages timely
· Distribute mail to appropriate personnel
Qualifications:
- Education: Associate’s Degree in Accounting, Finance, or a related field.
- Experience:
· 0-3 years of experience in accounting or finance
· Familiarity with ERP systems
- Skills:
· Strong analytical and problem-solving skills.
· Excellent attention to detail and organizational skills.
· Proficient in Microsoft Excel and other financial software.
· Strong communication skills to interact effectively with both internal teams and external clients.
Pay: $26.00 - $28.00 per hour
Expected hours: 40.0 per week
