Position Summary
The Medical Receptionist Scheduler supports the clinical and administrative teams by providing exceptional patient-facing service and efficient scheduling operations. Under general supervision and following established protocols, this role performs a variety of clerical, reception, and patient support tasks, including scheduling appointments and surgeries, verifying insurance, and facilitating smooth patient flow.
Core Responsibilities
Reception & Front Desk Support

Greet patients and visitors professionally and warmly.

Check in patients and confirm/updating insurance and demographic information.

Answer multi-line phones, relay messages accurately, and assist with general inquiries.

Maintain an organized front desk and ensure timely patient intake.
Scheduling & Patient Coordination

Schedule patient appointments with providers, including follow-ups and referrals.

Coordinate all aspects of surgery and procedure scheduling, including pre-operative testing, office visits, and post-operative care.

Provide clear verbal and written instructions for procedures and preparations.

Track and obtain necessary clearances, documentation, and imaging for surgeries.
Insurance & Billing Support

Verify insurance benefits and obtain pre-authorizations for tests and procedures.

Ensure compliance with insurance medical necessity guidelines.

Collect patient co-pays and process payments.
-
Enter and post provider charges accurately in the practice management system.
Administrative Duties

Maintain accurate and up-to-date patient records and documentation.

Support providers with prescription refill requests via electronic medical record (EMR).

Perform routine clerical tasks: faxing, copying, mail handling, ordering supplies, etc.

Coordinate with vendors, imaging centers, and other departments as needed.
Surgery Scheduling Duties

Interpret provider orders and schedule surgeries accordingly.

Coordinate surgical packets, equipment, supplies, and vendor support.

Track pre-operative testing, insurance authorizations, and ensure readiness for procedures.

Document all communications and updates thoroughly.

Qualifications
Education & Experience:

High school diploma or equivalent required; post-secondary education preferred.

Minimum age: 17

Prior experience in a healthcare setting (e.g., scheduling, admissions, medical office) preferred.

Knowledge of medical terminology, billing, and coding is a plus.

Bilingual (Spanish) is a strong asset.
