Job Title: Operations Coordinator
Reports To: VP of Outpatient Operations
Position Summary
The Operations Coordinator supports outpatient clinic operations by coordinating workflows, centralized scheduling functions, system integrations, and operational efficiency across multiple clinics. This role focuses on execution, process alignment, and operational support to ensure consistency, efficiency, and scalability across outpatient service lines, including interventional services.
Key Responsibilities
Operational Coordination
- Support day-to-day operational workflows across outpatient clinics under the direction of the VP of Outpatient Operations.
- Assist with implementation and reinforcement of standardized operational processes and SOPs.
- Coordinate between clinic leadership, centralized teams, and corporate functions to ensure operational alignment.
- Identify workflow inefficiencies, operational risks, and process gaps; escalate issues and support resolution.
Centralized Scheduling
- Support centralized scheduling operations to ensure consistency, access standards, and scheduling accuracy.
- Coordinate scheduling workflows between clinics and centralized scheduling teams.
- Assist with training, documentation, and process improvements related to centralized scheduling.
- Monitor scheduling performance trends and flag operational concerns.
Interventional Service Line Support
- Support operational efficiency of interventional service lines (e.g., TMS, Spravato, and other procedural services).
- Assist with workflow coordination, scheduling optimization, and operational readiness for interventional programs.
- Coordinate with clinic teams and centralized functions to support throughput, utilization, and process adherence.
- Identify operational barriers impacting interventional service delivery and escalate as needed.
Systems & Integrations
- Support EMR and operational system integrations, onboarding, and workflow alignment.
- Serve as a liaison between clinic teams, integrations, and IT to support operational readiness.
- Assist with access management and role-based workflow coordination.
- Maintain working knowledge of EMR and scheduling systems used across clinics.
Documentation & Collaboration
- Support maintenance and updates of operational documentation and SOPs.
- Collaborate with Operations, Revenue Cycle, Compliance, and HR teams as needed.
- Participate in operational projects, audits, and initiatives as assigned
General Expectations

Qualifications
Education
- Bachelor’s degree in healthcare administration, business, operations, or a related field preferred.
Experience
- Experience in healthcare operations, clinic administration, or operational support roles.
- Experience with multi-site operations preferred.
- Experience supporting EMR systems or healthcare technology integrations preferred.
Skills
